PW Guest Services Night Audit Ambassador

Primary Responsibilities: As an integral part of a team, Night Audit Ambassador checks front office accounting records for accuracy and, on a daily basis, summarizes and compiles information for the hotel's financial records. Tracks room revenue, occupancy percentages, restaurant, outlets, Golf Course and other hotel operating statistics. Prepares a summary of cash, check, and credit card activities, reflecting the hotel's financial performance for the day. Posts room charges and room taxes to guest accounts including guest transactions not posted during the day by the front office cashier.

Essential Duties:
  1. Post the appropriate daily charges to guest accounts including late night room service and golf course revenue.
  2. Processes guest charges voucher, credit card and transfer charges and deposits to master accounts.
  3. Audit all charges are assigned to the appropriate departments.
  4. Verify that all transactions performed by Guest Services are supported by documentary evidence, and appropriate signatures necessary.
  5. Verify all charges posted from the POS to guest folios and accurate.
  6. Verify room rates are correct and post to guest accounts.
  7. Monitor the current status of coupon, discount, and other promotional programs.
  8. Able to perform Guest Service Ambassador task.
  9. Tracks room revenue, occupancy percentage, and other front office statistics.
  10. Prepares a summary of cash, check, credit card activities and summarize results to management.
  11. Audit financial postings, documents for accuracy. Record, store and analyze financial information.
  12. Prepare of End of day procedure by following the End of Day / Night Audit Checklist.
  13. Must have complete knowledge of emergency procedures.
  14. Balance the day's charges, making corrections as necessary.
  15. Run end of day process in Opera.
  16. Understand principles of auditing, balancing, and closing out accounts.
  17. Knows how to operate Opera and other front office equipment's.
  18. Respond to guest needs, complaints and services. Update manager when necessary.
  19. Ability to communicate effectively, prioritize and coordinate multiple tasks with various
  20. departments and guests.
  21. Ensure familiarity with all hotel services/features to respond to guest inquiries accurately.
  22. Must be highly organized, detail-oriented.
  23. Ability to maintain positive guest relations at all times.
  24. Perform all other duties as may be required or assigned.

Other Duties:
  1. Must be able to perform general cashiering procedures.
  2. Generate reports as required.
  3. Follow all company policies and procedures.

Working Conditions:
  1. Air conditioned office environment.
  2. Ability to stand and walk for up to 8 hours throughout work shift.

Work Hours:

  1. Schedule will be based on operational needs.

Equipment Use:
  1. Ability to masterfully utilize the following systems: Opera, Saflok, Microsoft Office, Outlook,
  2. Micros POS and other systems utilized in Front Office area.
  3. Accurate typing skills of 40 words per minute

Mental and Physical Demands:
  1. Must be able to handle irate guests and remain calm and friendly.
  2. Must be able to work under pressure, manage stressful situations, and multi-task.
  3. Must be able to endure various physical movements throughout the work areas.

Communication Demands:
  1. Must be able to verbally communicate in person and over the phone.
  2. Must be able to follow verbal or written instructions

Minimum Qualification Requirements:
  1. Must be proficient in English (oral and written) to effectively perform job functions.
  2. Must be able to perform general cashiering procedures.
  3. Must be able to multi-task.
  4. Minimum 3 years hotel experience (preferred 3 years Front Office)


Education:
  1. High school graduate or equivalent.
  2. Must speak, read, write, and understand the primary language (English) used in the workplace.
  3. Must be able to speak and understand the primary language used by the guests who visits the hotel.
