The Office Coordinator plays a pivotal role in ensuring the smooth and efficient operation of our organization. This role is instrumental in optimizing administrative processes and fostering a productive workplace culture. The Office Coordinator embodies professionalism, organization, and exceptional customer service, thereby contributing significantly to the overall success and cohesion of our team.

What You'll do

  • Administrative Support: Assist in managing day-to-day office tasks, including mail distribution, inventory tracking, and maintaining office supplies.
  • Office Atmosphere: Ensure a welcoming and positive office atmosphere by maintaining tidiness, supplies and organization in the kitchen, mail room, meeting rooms, and public areas, so that team members and visitors alike feel inspired and cared for.
  • Vendor Relations Support: Help in coordinating with vendors for office supplies and services. Assist with the tracking of orders and deliveries to ensure our office remains well-equipped.
  • Mail and Shipping Assistance: Support the processing and distribution of incoming and outgoing mail and packages. Ensure timely and accurate handling to assist office communication and operations.
  • Collateral and Supplies Maintenance: Assist in the management of office collateral and supplies, ensuring materials are stocked and organized, thus supporting our marketing and sales efforts.
  • Sustainability Initiatives Support: Contribute to our office's sustainability initiatives by participating in "green" practices and suggesting and helping implement ideas to minimize our environmental impact.
  • Facility Assistance: Provide support in managing facility-related requests and maintaining a safe, functional working environment under the direction of the Senior Director, Systems & Operations.
  • Access and Security Assistance: Assist with the issuance of access cards and keys, and elevator access, ensuring compliance with our security protocols. Meet and escort guests up to our office as needed.
  • Parking Coordination Support: Help manage parking system logistics, including validation requests and usage tracking.
  • Gift Closet Administration: Working with sales and marketing teams, provide general administration of our client gift closet including ordering, inventory management, and restocking.
  • Deliveries: Facilitate local deliveries, ensuring timely distribution of items such as gifts, signs, and other materials as required.

Who You Are

Qualifications:

  • Experience in inventory management preferred.
  • Good organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Interest in sustainability and environmental initiatives.
  • Basic proficiency in office software and systems.
  • Team player with the ability to also work independently.
  • Must be fully vaccinated against COVID-19.
