Minimum Qualifications
Bachelors degree. One year of administrative experience is required. Additional administrative experience may substitute for the required college education on a year for year basis.
Recruitment Notes
The Administrative Officer 2 is an advanced administrative position responsible for planning and coordinating various administrative activities within the reception unit (AP- Accounts Payable). This position is responsible for but not limited to the training and implementation of procedures related to customer service provided by the Finance 's reception team. Responsible for supervising a group of subordinate clerical staff who perform the daily functions of the reception Unit. Responsible for ensuring that all incoming calls are answered in a timely fashion and are routed correctly as well as all walk-in requests/inquiries. Responsible for the distribution, recording, release, and follow-up of all check payments slated for pickup is done and that is correct and timely. Assures that Finance mail is routed timely and properly. Responsible for overseeing the scanning of physical invoices by assuring is done in a timely manner and that proper inventory levels of critical supplies needed by the Section are maintained. Responsible for planning and coordinating the Hospitality Reservation System for the Finance staff and will monitor the Finance Call Attendant system to ensure that it is working properly. Other responsibilities includes assuring the staff is knowledgeable in the services offered County-Wide and the operations of all departments to apply the Mayor No Wrong Door initiative.
