Continental Heavy Civil is looking for an Office Administrator to perform the daily operations. This position is accountable for providing support to our managers and employees, assisting in daily office needs, and managing our company’s general administrative activities.


Responsibilities: 


Office Duties:

  • Handle incoming calls, greet visitors, receive packages, and manage incoming/outgoing mail.
  • Maintain inventory of office supplies, restocking as needed.
  • Undertake minor IT tasks, such as setting up new laptops and tracking IT inventory.
  • Assist in running office errands as needed.

Administrative Support:

  • Schedule meetings, send invites, and record meeting minutes.
  • Prepare and present business-related correspondence with accuracy and professionalism.
  • Manage both digital and physical file libraries for easy access and retrieval.
  • Maintain office email, ensuring prompt responses and organization of incoming correspondence.

Bid Proposal Support:

  • Assist in the preparation of bid packages and proposals.
  • Keep track of key deadlines and submission requirements, ensuring timely and complete submissions.
  • Monitor bid platforms for new bid requirements, addendums, and delays on interested projects.

Construction Support:

  • Keep track of essential documents such as lien releases, certificates of insurance, and subcontracts to ensure compliance and smooth project execution.
  • Provide administrative assistance to field personnel as required, fostering cohesion between office and site operations.

 

Qualifications:

  • Minimum education of High school diploma or equivalent, higher education is preferred
  • Must be able to clear drug screening and E-Verify.
  • Proficiency in English (required) and Spanish (preferred)
  • Highly proficient in writing, with the ability to craft compelling proposals and business communications.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and Adobe Acrobat.
  • Efficiently manage time and prioritize tasks to meet deadlines effectively.
  • Self-starter with strong initiative, able to work independently or as part of a team.
  • Ability to multitask and prioritize daily tasks effectively in a fast-paced environment.
  • Attention to detail: Maintain accuracy and precision in administrative tasks, including data entry, document preparation, and correspondence.
  • Familiarity with construction terminology, processes, and documentation is preferred.

Experience:

  • Office Administrator: 1 - 3 years’ experience.

 

License/Certification:

  • Driver’s License (Required)
