DEPARTMENT: Health Services, Student Development Division

CLASSIFICATION: Hourly, full time (40 hours per week), 9 months.Summer hours, maximum 18 hours per week, 2 months (June & July).

IMMEDIATE SUPERVISOR: Director of Health Services (DHS)

GENERAL FUNCTION: Manages office activities to effectively provide health services to Health Center clients. Assists DHS with patient appointments and delivery of health care. Completes transcription of office notes and manages student/patient health files.

QUALIFICATIONS: Health care background preferred or willingness to learn to take vital signs and basic first aid. Two years of clerical experience (or equivalent formal clerical training). Operation of standard office machines, minimum typing skills of 50 wpm, computer and word processing skills required. Previous experience with medical transcription preferred. Must be a self-directed mature individual with professional and personal discretion who is able to relate effectively with faculty, staff, and students in an academic setting. Must always maintain strict confidentiality.

DUTIES AND RESPONSIBILITIES:

Administrative Assistant:
  1. Perform receptionist duties:
  2. Greet University students, employees, and visitors to the Health Center.
  3. Provide information and/or materials regarding Health Services and procedures.
  4. Answer telephone calls, taking messages or routing calls to appropriate office personnel.
  5. Perform limited triage of patients and schedule Health Services appointments as appropriate.
  6. Monitor waiting area and notify appropriate office staff of client arrivals for health appointments.
  7. Manage loan equipment and provide for purchase over-the-counter medications.
  8. Process payment for appropriate medical fees at the end of patient appointments.
  9. Manage calendar of DHS's professional appointments and meetings.
  10. Manage incoming mail, deliveries, and correspondence related to Health Services' activities.
  11. Arrange for payment of Health Services bills and expenses following established Business Office procedures.
  12. Process student charges and receipts, making deposits to the Business Office on a regular basis.
  13. Maintain and order/purchase office equipment supplies, and forms as needed.
  14. Supervise student employees.
  15. Maintain records and files related to individual work assignment. Organize records and work efforts to assure timely accomplishment of tasks.
  16. Periodically check work area and maintain a neat and orderly work environment.
  17. Monitor cleanliness of office suite, consulting with and reviewing cleaning protocol with Environmental Services staff as needed.
  18. Continually review office environment, activities, and procedures, making changes and recommendations to improve and maintain effective functioning of Health Services.
  19. Perform other duties as assigned by the Director of Health Services.


Health Assistant:
  1. Perform health assistant duties, including providing first aid, health advice, patient triage, preparing examination rooms and supplies for patient visits, measuring and recording patient vital signs and chief complaint prior to visit and assisting with medical procedures.
  2. Assist DHS in follow-up telephone contact with patients requiring re-evaluation or on-going medical care.
  3. Maintain supply of clean linens, gowns, and other washable items for patient use.
  4. Monitor and restock frequently used laboratory and exam room supplies.
  5. Maintain inventory of medical and pharmaceutical supplies, reordering and restocking as necessary.
  6. Clean and sterilize reusable medical equipment on a regular basis.
  7. Disinfect counters, surfaces, and equipment on a daily/weekly/monthly basis per written protocol.
  8. Clean and disinfect CPR manikins and restock supplies after use.

Transcriptionist/Records Manager:
  1. Process transcription of medical dictation of office visits/patient appointments, reports, and correspondence.
  2. Maintain monthly reports of appointments and medical statistical data
  3. Oversee department's involvement in the student enrollment/registration process.
  4. Organize and maintain health and immunization records of current students.
  5. Review and process incoming students' health history forms/immunization records with appropriate notification and follow up of incomplete records.
  6. Print weekly immunization compliance reports to identify and notify current students of expiring vaccines and need for updates.
  7. Oversee yearly copying/scanning of previous medical records to digital format.

Machines, Tools, and Equipment: Standard office machines to include personal computers, typewriters, transcription equipment, photocopiers, facsimile machines, multi-line telephone systems, credit card machines, and multi-page scanners. Medical equipment to include thermometers, stethoscopes, blood pressure cuffs and sphygmomanometers, and SaO2 monitors.

Hazards: Frequent exposure to infectious and communicable diseases. Risk of exposure to blood-borne pathogens.
