Join Our Crew as an Office Administrator/Executive Assistant
In the Executive Assistant/Office Administrator role at Captain Jay's, you'll play a crucial part in ensuring our corporate operations run seamlessly and efficiently. Your day-to-day tasks will include managing the CEO’s busy schedule, coordinating meetings, and handling communications with both internal teams and external stakeholders. You’ll be responsible for organizing travel arrangements, preparing essential documents for presentations and reports, and facilitating smooth meeting logistics by preparing agendas and taking minutes. Additionally, you’ll oversee office supplies, maintain organized filing systems, and serve as a point of contact for administrative inquiries from employees.
This role requires a proactive mindset, as you’ll often tackle various administrative projects, support business development initiatives, and help track key performance metrics. Your contributions will not only enhance operational efficiency but also foster a positive and collaborative work environment. What You'll Do:
- Calendar & Communication: Manage the CEO's day-to-day schedule, handle calls and emails, and act as the liaison between internal and external stakeholders.
- Meeting Magic: Coordinate meetings, prepare agendas, take minutes, and follow up on action items.
- Travel Coordination: Plan travel arrangements and itineraries for the executive team.
- Project Support: Assist with business development projects and compile data for reports and presentations.
- Office Management: Oversee office supplies, maintain filing systems, and ensure a tidy, organized environment.
- Confidentiality: Handle sensitive information with discretion and professionalism.
- Proven Experience: You bring a solid track record in administrative or office management roles, showcasing your ability to keep things running smoothly.
- Microsoft Office Mastery: You’re proficient in the Microsoft Office Suite (Word, Excel, PowerPoint), ready to create stunning documents and impactful presentations.
