Job Description:

Serves as an executive partner and trusted advisor to the President, ensuring communication, coordination, and alignment of campus offices to accomplish the vision, mission and goals of the University. Serves as a member of the President's Executive Leadership Team and supervises OOP staff. Works collaboratively to coordinate and advance the strategic work of the University and the President. Ensures operational efficiency, accuracy, and effectiveness within the OOP. Supports and sustains a culture of service, professionalism, and continuous improvement.

  • Leads the OOP's communications and relationship-building endeavors with all constituents. Ensures consistent strategic communication across all levels within the University and with external stakeholders in service to the University's priorities. Reviews and approves all presidential communication, briefings, university-level crisis communication, university press releases and related media featuring the president. Ensures all communication out of the OOP and/or issued on behalf of the president is accurate, well-written, on message, timely, and respectful. Speaks on behalf of the president to internal and external audiences when assigned.

  • Collaborates with Co-Chief Operational Officers on day-to-day management of university operations as well as strategy, with special attention to projects related to the university's strategic plan. Serves as a thought partner to the president and other members of the executive leadership team. Identifies pain points and risks, working with other executive leaders to solve problems and mitigate risks. Utilizes high degree of awareness of university's policies, procedures, and practices and recommends changes when needed. Monitors university's capital projects and quarterly financials on behalf of the president via reporting from the office of Finance and Administration as well as other financial data related to projects and accounts sponsored by the President's Office.

  • Serves the Board of Trustees as Assistant Secretary with responsibilities as assigned by the Board Secretary, including but not limited to recording and preparing the Board's official minutes, ensuring procedural accuracy in proceedings, motions, and other board actions, preparing and distributing materials in advance of Board and Committee meetings, and maintaining the university's official archival records regarding the Board of Trustees. Communicates with Trustees on behalf of the president. Directs OOP staff on planning both in-person and virtual meetings of the Board and its committees.

  • Manages the Office of the President, ensuring timely execution, efficiency, accuracy, fiscal responsibility, and alignment of work product with university goals and priorities. Leads staff with a high degree of professionalism, responsiveness, accountability, and integrity. Follows best practices related to organizational culture and change management. Maintains impeccable record of confidentiality. Supervises employees in accordance with all policies and applicable laws.

ADDITIONAL DUTIES

  • Engages with all Trinity University employees in the spirit of teamwork and collegiality and interacts with confidence, patience, and integrity to provide leadership and other forms of guidance during emergencies.
  • Complies with all Trinity University policies and guidelines as well as state, local, and federal laws.
  • Represents the Trinity University at all times.
  • Performs other duties as required.

EDUCATION

Required: Bachelor's degree from an accredited institution.

Preferred: MBA/JD/Master's degree from an accredited institution.

EXPERIENCE

Required:

  • Ten years of progressively responsible related experience.
  • Experience in higher education directly supporting/working with a chief executive.
  • Experience with executive advisement, communications and strategic initiatives.
  • A demonstrated strong commitment to equity and inclusion.
  • Experience managing and coaching staff as well as organizing and directing effective teams.

Preferred:

  • Supervisory and budget management experience.
  • Project management experience.
  • Demonstrated experience managing collaborative teams in a rapid and politically complex environment.
  • Demonstrated success leading and tracking end-to-end projects.
  • Experience with project management software.

KNOWLEDGE, SKILLS, AND ABILITIES

Required:

  • Highly skilled with Microsoft Word, Excel, Google Sheets and PowerPoint.
  • Ability to work as needed during off hours for rapid/crisis communications.
