Your Mission
As a Tenant Experience Specialist, you will be responsible for bringing a hospitality touch to the tenants of the Transamerica Pyramid - one of the most famous buildings in the country - and one that is redefining downtown San Francisco. Your job is to provide essential administrative support to ensure our programming is seamless and impactful. You’ll oversee tenant communication, fitness center memberships, scheduling of conference rooms, and quality control to ensure a five-star experience for tenants.
What You’re Responsible For
- Operational Support: Support with the day-to-day operations of the fitness center and conference rooms, including tenant communication and customer service, providing special touches like our signature fruit-infused water and snacks, and ensuring office supplies are stocked in all conference rooms. Provide day-of event execution support, including setup and teardown for building-wide events.
- Amenity Space Tours: Lead tours of the fitness center and conference room spaces to interested tenants, communicating Lulafit’s offerings and private services throughout.
- Fitness Center Service Scheduling: Support the Fitness Manager by coordinating and scheduling personal training and small group training sessions within the fitness center, including handling cancellations and rescheduling. Provide timely and professional communication to tenants before and after sessions to ensure a hospitality-focused experience.
- Conference Room Scheduling: Act in a supporting role by handling inquiries about conference rooms and answering tenant questions about the spaces. Maintain scheduling calendars and tracking sheets, ensuring they are consistently up-to-date with accurate information.
- Administrative Support: Oversee and manage administrative duties such as membership and engagement data entry, inventory tracking and ordering, and compiling and sharing tenant feedback. Support the Tenant Experience Team with other projects and tasks related to increasing client engagement and member experience.
- Building Team Collaboration: Work collaboratively with the building maintenance and operations teams to ensure the facility is well maintained.
- 1+ years experience in a hospitality-based or customer-facing administrative role. You may have worked as a concierge in a hotel or a member services representative in a gym.
- Even better if you have a passion for the fitness, wellness, or sports industry
- You are proficient with both the Google suite (what Lulafit uses) and Microsoft Office (what our clients use). Don’t worry, you don’t need to be great at PowerPoint nor super savvy with Excel.
- Obsessively customer-centric. In previous roles, you have exceeded what customers expected of you, you have an innate hospitality mindset and are happiest when you are serving others.
- A hyper-organized ball juggler. You stay extremely organized and are constantly reprioritizing your own work because it’s what makes you most effective. Everyone refers to you as a stellar multi-tasker.
- You are a stellar communicator. You are known for clearly communicating your points - whether in email or verbally. In this role you’ll be communicating a lot about bookings (both coordinating them and confirming), sending vendor communications, and engaging with different levels of tenants (office managers to C-Suite).
- A flexible and adaptable entrepreneur: You thrive in an ever-changing environment. You can instinctually reprioritize your tasks based on changing demands, and can keep a level head and hospitality mindset through these changes. You are able to work autonomously and consistently aim to anticipate colleague and tenant needs.
- Technologically savvy: You have worked within many different technological environments and you are quick to learn new platforms. You approach technology with a curious mind and strive to use any and all tech efficiently and effectively.
