Job Summary

The Tenant Coordinator will provide administrative support to the property management team, focusing on periodic reporting responsibilities and customer service. Key responsibilities include resolving tenant issues, executing special requests, and working with vendors and building management team members to ensure procedures are followed.

Key Responsibilities
  • Provide direct administrative support to the Director, Operations and Chief Engineer
  • Serve as the main point of contact for service requests from tenants
  • Enter tenant service requests into the work order system
  • Ensure Certificate of Insurance compliance for tenants and contractors
  • Maintain the cleanliness of the reception, lobby, and work area
  • Assist in management audits and prepare files and records
  • Prepare and send mail and packages
  • Internal and external correspondence
  • Create, maintain, review, and purge files according to company policy
  • Update and file documents for vendors and customers
  • Maintain employee, client, and customer contact databases
  • Organize departmental meetings and travel arrangements
  • Enforce compliance with insurance requirements and document incidents
  • Manage the new tenant welcome and orientation program
  • Revises and distributes updated property manuals
  • Process accounts receivable and obtain W-9 forms from vendors
  • Initiate cost reduction programs and negotiate office equipment leases
  • Coordinate timely repair and maintenance of office equipment
  • Track budget line items and resolve negative variances
  • Prepare manual adjustment forms and ensure they are processed correctly
  • Ensure engineers take monthly readings from electric meters
  • Enter data on tracking spreadsheets and calculate charges
Requirements
  • 2+ years of Coordinator experience with commercial real estate experience a plus
  • Highly proficient in Microsoft Word, Excel, and Outlook
  • Professional, reliable, flexible, and positive attitude
  • Excellent attention to detail and customer service skills
  • Ability to communicate well in written and verbal forms
  • Proactive attitude and willingness to take on additional responsibilities
  • Interest in real estate
Education
  • Bachelor's degree and similar work experience
