Position Overview for the Office Manager:

  • Office Operations and Efficiency: Oversee the daily operations of the Seattle office, ensuring that all office procedures are organized and executed efficiently. This includes managing office supplies, equipment procurement, and office layouts, as well as maintaining a safe and secure working environment.
  • Vendor and Service Provider Management: Manage relationships with vendors, service providers, and the landlord, ensuring that all contracts are up-to-date, services are delivered on time, and all invoices are processed and paid promptly. This also involves negotiating contract terms and pricing to optimize office expenditures.
  • Support for HR and IT Functions: Partner with HR and IT teams to ensure seamless onboarding experiences for new hires. This includes coordinating with IT to set up workstations and systems, as well as collaborating with HR to maintain and enforce company and office policies.
  • Event and Project Coordination: Actively participate in the planning and execution of company events, including coordinating office meals multiple times a week. Manage special projects assigned by management, providing regular updates and ensuring that all tasks are completed to the highest standard.

Required Skills for the Office Manager:

  • Experience and Expertise: A minimum of 5 years of proven experience in office management, administrative roles, or as an assistant, demonstrating a strong ability to manage office operations effectively. Extensive knowledge of office management responsibilities, systems, and procedures is essential for ensuring smooth office functionality.
  • Technical Proficiency: Advanced proficiency in Microsoft Office Suite and general computer skills are required to manage various office tasks efficiently. Familiarity with Human Resources management practices and procedures is necessary to support HR-related functions, including onboarding and policy maintenance.
  • Time Management and Multitasking: Exceptional time management skills with the ability to multitask and prioritize work in a fast-paced environment. The ability to juggle multiple responsibilities, such as coordinating schedules, appointments, and bookings, while maintaining high productivity is crucial.
  • Attention to Detail and Communication: Strong attention to detail and problem-solving skills are necessary to ensure that all office operations are executed accurately and effectively. Excellent written and verbal communication skills are required to interact professionally with staff, vendors, service providers, and visitors, ensuring clear and effective communication across all levels of the organization.
