The Executive Assistant, who will have dual reporting to VP of Human Resources and VP of Sales and Marketing, is responsible for providing comprehensive administrative support to executive staff, coordinating corporate events, managing travel arrangements, organizing plant tours, and acting as company receptionist. This role involves handling confidential information, preparing reports and presentations, maintaining schedules, and ensuring all incoming and outgoing mail is handled appropriately and timely. The ideal candidate will have exceptional interpersonal skills, maintain a professional appearance and demeanor, be proficient in Microsoft Office, and have a solid background in administrative support, with the flexibility to work overtime as needed.


Responsibilities:

  • Responsible to executive staff for completion of projects, events, and presentations as assigned
  • Acts as company receptionist, handling incoming calls and greeting visitors
  • Handle all outgoing and incoming mail and packages for the Elkhart campus per the established process
  • Manage incoming requests and correspondence for the executive team
  • Handle confidential and non-routine information
  • Coordinate plant tours and artist studio sessions
  • Coordinate corporate functions, meetings, lunches, and events
  • Assist with MAP compliance auditing and keeping dealers compliant
  • Process expense reports and check requests for the Sales and Marketing team
  • Maintains clean lobby area
  • Other duties as assigned


Qualifications:

  • High School Graduate
  • Minimum of five (5) years of clerical/administrative support experience
  • Musical background preferred
  • Exceptional interpersonal skills with a friendly and outgoing personality. Must have a natural flair for customer interaction, be attentive, and possess a warm and welcoming personality. Maintain a professional appearance and demeanor
  • Prior experience in the hospitality industry is a plus
  • Working knowledge of office support functions including handling correspondences, filing, composing a variety of business documents, gathering and compiling data
  • Excellent skills with Microsoft Office Suite: PPT, Excel, Word, Outlook, Teams, One Drive
  • Excellent verbal and written communication skills
  • Must be able to interact and communicate professionally with individuals at all levels of the organization
  • Must have high level of interpersonal skills to handle sensitive and confidential situations
  • Superior attention to detail with ability to work independently
  • Ability to multitask at a high level and remain organized
  • Must be flexible with work hours and able to work overtime
