Position Description:As the Office Manager at EHCEC, you will be the central contact for team members and vendors, ensuring the smooth and efficient operation of our office. This role is pivotal in providing essential bookkeeping, administrative support, and procurement services. Key Responsibilities/Essential Functions:Finance and Bookkeeping Operations:
  • Perform day-to-day bookkeeping tasks, including accounts payable (AP), accounts receivable (AR), and daily cash reconciliations
  • Prepare documents, enter data, and handle other administrative tasks efficiently.
  • Maintain accurate financial records, including invoice preparation, staff reimbursements, and other financial transactions promptly.
  • Assist with the monthly close process by tracking expenses, receipts, and financial records.
  • Ensure compliance with relevant financial regulations, policies, and procedures.
  • Maintain organized and up-to-date financial documents, contributing to the accuracy of our financial records.
Office Management:
  • Supervise administrative personnel and seasonal administrative interns.
  • Collaborate with vendors and service providers to ensure seamless office operations.
  • Research and implement best practices for office management and administrative operations.
Procurement:
  • Manage the procurement process, from identifying needs to negotiating with suppliers and ensuring timely ordering and delivery of goods & services.
  • Track and report on procurement activities, ensuring cost-effectiveness and efficiency.
  • Reconcile purchase orders and expenditures on a monthly basis.
Team Support:
  • Provide administrative support to team members, addressing various needs promptly.
  • Assist in HR processes, including onboarding new employees and facilitating smooth departures.
  • Contribute to the planning and coordination of EHCEC events and activities.
Technology and Equipment:
  • Troubleshoot basic office equipment issues and coordinate necessary repairs.
  • Manage office technology, including printers, copiers, and phone systems.
Communication:
  • Act as a liaison between the business office and various departments.
  • Ensure EHCEC announcements and updates are communicated effectively to the entire team.
Required Skills & Abilities:
  • Demonstrated commitment to Bookkeeping or Business Management/Administration through experience or education.
  • Proven experience as office manager or related supervisory role.
  • Knowledge of nonprofit accounting and generally accepted accounting principles.
  • Familiarity with office management procedures and basic accounting principles.
  • Proficiency in QuickBooks Online, Microsoft Office Suite (Word, Excel, and Outlook), Zoom, and Google Suite.
  • Strong organizational and leadership skills.
  • Excellent communication and interpersonal abilities.
  • Exceptional attention to detail and problem-solving skills.
  • Commitment to maintaining the highest level of confidentiality.
  • Ability to work well with others, demonstrating patience, humility, and a willingness to be a “servant leader.”
  • Basic understanding of non-profit business operations.
  • A positive and professional attitude.
DESIRED SKILLS & ABILITIES:
  • English (Spanish Preferred).
  • Knowledge of and experience working with marginalized communities.
  • Valid driver's license with reliable transportation and car insurance.
  • Strong preference is given to candidates who reside in or are familiar with the East Harris County region.
