Instituto del Progreso Latino is a community organization whose mission is to contribute to the fullest development of Latino(a) immigrants and their families through education, training and employment that fosters participation in the changing U.S. society while preserving cultural identity and dignity. Founded in 1977 to help Latino’s learn basic skills, pass the civil service exam and obtain higher paying post office jobs, Instituto has grown to a flourishing educational center serving over 14,000 Chicago families per year.
POSITION DESCRIPTION
Under the supervision of the Dean of College Academic Affairs, the Administrative Assistant provides support to the Dean of Academic Affairs, the Associate Dean of Nursing, and the Director of College Academic Affairs. The position also supports the intake process for incoming students into the Instituto College of Nursing Programs: The Associate Degree in Nursing (A.D. N.), and the Basic Nursing Assistant Training Program (BNATP).
ESSENTIAL DUTIES AND RESPONSIBILITIES
The Administrative Assistant performs a variety of routine clerical duties including, but not limited to the following responsibilities:
- Prepare routine records, memos and forms, proof-read completed memos and make appropriate corrections.
- Maintain office records and student files in alphabetical and/or numerical order.
- Receive and sort incoming mail and distribute to appropriate personnel within the office.
- Answer the telephone, take messages, and transfer calls to the appropriate staff members.
- Assist the Nursing Program Administrators in scheduling appointments with partners, staff, as well as with the nursing students.
- Operate basic office equipment such as copier, fax machine, scanner, and other equipment as necessary.
- Maintain and organize office inventory and simulation lab supplies.
- Submit office supplies orders in a timely manner.
- Provide information on the admission requirements and application process to potential applicants to the BNATP and A.D.N. program.
- Provide information to students regarding admission eligibility requirements, registration processes, enrollment dates, financial aid information, departmental course offerings, and program policies and procedures.
- Assist the Director of College Academic Affairs in ensuring that all forms required by the IDPH and the IDFPR are in the students’ files, and notify the Director of College Academic Affairs of any missing forms needed to be collected.
- Contacts potential BNATP and A.D.N. Program applicants to alert them of any missing documentation and provide a due date to submission.
- Maintain an updated inquiry tracking log for the A.D.N. and BNA Training Programs potential applicants.
- Assist the Director of College Academic Affairs in coordinating and scheduling program admission interviews with potential applicants to the A.D.N, and the BNA Training Programs.
- Schedule the new student orientation sessions for the BNATP and the A.D.N. Program.
- at the beginning of each cohort. Assist in conducting program orientations to new applicants as needed.
- Assist in Xeroxing classroom materials such as teachers’ exams, classroom handouts, faculty attendance rosters, students’ handbooks, teacher’s forms, informational program flyers and forms, narrative reports, and general correspondence.
- Assist in the preparation and submission of requests for payment and reimbursement, travel arrangements, and conference registration.
- Delivers and picks up documents from Human Resources and the office.
- Assist in the research of information and collection of basic data for the Nursing Program, grants and reports.
- Perform other related duties as required by the College of Nursing Administrators.
QUALIFICATIONS, EXPERIENCE/EDUCATION
- Associate degree required.
- At least three year of experience working in an office environment.
- Advanced skills using Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
- Excellent time management, organizational and writing skills, as well as analytical skills.
- Ability to represent the organization and program with positive and professional poise.
- Ability to work independently and as a team.
- Proactive self-starter with the ability to multitask, and maintain focus in a fast-paced environment.
- Ability to maintain a high sense of confidentiality.
- Above average “customer” service attitude.
- Strong telephone skills and ability to maintain composure under pressure.
- Dependable and punctual.

PHYSICAL DEMANDS

Majority of work performed in a general office environment. Position requires availability for extended hours plus non-traditional hours required to perform job duties. Also requires participation and attendance at organization sponsored events and meetings.
