Job Summary:
OFFICE ADMINISTRATOR Responsible for creating a well-organized environment to handle day-to-day operations and procedures for all hourly and exempt employees. The successful candidate will be an approachable, creative, flexible, informative and reliable critical thinker. The Office Administrator will be accountable for communication protocols and be required to perform high-level, sometimes complex administrative duties relating to various aspects of the business. They will report directly to and coordinate with the Area Director in their market.
Responsibilities:
Other duties, responsibilities and qualifications may be required and/or assigned. This position may occasionally require extended office hours, weekends, holidays, and off hours to support our team and customer base. Essential Job Functions: Provide support for the designated market management team. Provide professional representation for the front of office, exercising good judgement and discretion pertaining to confidential issues and materials in responding to mail, telephone, electronic, and in-person inquiries. Assist with coordination of technician resources by reinforcing expected behaviors and ensuring processes are understood and followed. Maintain office records, files and/or other documents, including license renewals, vehicle registrations, new hire paperwork and the handling of sensitive materials. Plan and coordinate onsite and offsite events including identifying and coordinating catering, creating agendas and itineraries, and locating and booking appropriate off-site space as necessary. Maintain office supplies and assist with tracking and replenishment of key supply items. Assist with new hire processes including scheduling and providing guidance to new personnel to get answers to their questions.
Qualifications & Skills:
Effective interpersonal skills and proven ability to communicate both verbally and in writing. Ability to multi-task and prioritize work by considering its risk, importance and impact. Proven customer service skills and comfort with building relationships as well as maintaining composure in dynamic environments. High sense of urgency, drive, and willingness to do what it takes to get the job done. Strong sense of discretion with handling confidential information from verbal, electronic, and written sources. Ability to work both independently and highly collaboratively with a team as needed. Highly organized with strong attention to detail and accuracy. Thorough familiarity with computers and related devices as well as essential software including Word, Excel, Outlook, SharePoint, and Power Point.
Education and Qualifications: Education Level: High School/GED Experience: 2+ years of previous office management experience Advanced problem resolution and communication skills Self-motivated and comfortable with working under pressure in a fast-paced environment Ability to operate common office equipment requiring repetitive hand movements and fine coordination including the use of a computer keyboard Ability to occasionally stoop, bend, kneel, crouch, reach and twist Ability to lift, carry, push, and/or pull light to moderate amounts of weight up to 50lbs
