Performs a variety of administrative duties within an integrated/interdisciplinary department, under the supervision of the Office Supervisor.
RESPONSIBILITIES:
- Screen telephone inquiries, enter client data into the intake database and assign program/supervisor based on appropriate level of service need. Schedule intake appointments for new clients.
- Maintain accuracy of Community intake database and follow-up with clients and clinical staff about scheduling and wait lists.
- Answer telephone calls coming into the office; forward calls to the appropriate party; record and distribute messages as needed; retrieve voicemail messages and respond as needed.
- Promptly respond to internal and external communication and requests.
- Send routine and customized letters to clients.
- Assist with data entry and/or faxing for authorizations.
- Complete administrative duties assigned by supervisor for various community program supervisors, including, but not limited to, data entry, phone calls, preparing treatment/marketing materials, etc.
- File paperwork into charts and complete chart reviews.
- Assist with creating and closing charts for counseling staff.
- Assist with check-in process for counseling and psychiatry clients in the counseling center, including computer check-in, balance/co-pay collection, and distributing intake paperwork to clients.
- Assist with mail runs and other administrative daily tasks.
- Assist with other administrative duties upon request.
- Regular participation in supervision meetings and team meetings for the sharing of ideas, feedback, and department planning.
- Please note that due to the evolving nature of the field some of these tasks may change and program managers have the discretion to adjust the duties of the role to meet the needs of the departments
- Other duties as assigned.
QUALIFICATIONS:
- Associate’s or Bachelor’s degree in a human services area is preferred, but not required.
- At least 1 year of experience working in the human services field. Prior experience within a human service agency preferred.
- Excellent verbal and written communication skills.
- The ability to demonstrate concern and empathy while setting appropriate limits. A commitment to providing excellent services to clients.
- Strong organizational skills with accuracy and attention to detail.
- Initiative to identify emerging needs and flexibility to address new needs as they arise.
- The ability to demonstrate sound judgment, calm demeanor, and problem-solving in new or challenging situations.
- A high level of interest in gaining extensive knowledge of Wedgwood’s Community services and a commitment to identify the best services for the needs of each individual/family.
- Must possess the ability to work well within an interdisciplinary team.
- Necessary computer-based skills including the ability to set up and maintain email systems, data base systems, file sharing systems, and calendars.
- Subscription to the Statement of Faith of Wedgwood Christian Services and agreement with the goal, purpose, and objectives of the agency.
HOURS OF WORK: 40 hour set schedule between office hours of Monday-Thursday: 9am-8p and Friday: 9a-5p. At least 1 evening required per week.
Compensation: $19.00 per hour
