Job DescriptionJob Description

This position provides receptionist and administrative support duties of moderate complexity to the Adult Services Division Director. Knowledge of Microsoft Office and proficiency with computer applications is required, along with customer service experience.

Qualifications:

  • High School Diploma or equivalent
  • Excellent oral and written communication skills
  • Good organizational and documentation skills
  • Working knowledge of Microsoft Office applications
  • Knowledge and proficiency with computer applications
  • Customer Service experience
  • Full time Monday through Friday

Duties:

  • Perform receptionist duties, acknowledging and assisting clients, visitors, vendors, etc.
  • Answer phones, route calls, take messages for staff
  • Review voicemails and return phone calls, providing coverage for Customer Service Representatives
  • Review schedules, verify appointments, make appointments as necessary
  • Perform administrative tasks such as typing, scanning, faxing, data entry and filing
  • Organize documents and electronic information, which includes retrieving and sorting mail as well as sharing and categorizing documents
  • Take meeting minutes, assist with creating agendas and other written communications taken verbally from administrators or outside vendors
  • Sorting through resumes while monitoring open positions within Adult Services Division and document findings for review
  • Review Continuous Education Unit calendar and identify topics for professional development for various programs
  • Other duties as assigned
