As the Administrative Assistant to the CEO, you will play a crucial role in supporting the CEO in daily administrative tasks, ensuring smooth operations, and contributing to the overall efficiency and success of the executive team. This position requires exceptional organizational skills, discretion, and the ability to handle a wide range of responsibilities in a dynamic and fast-paced environment.


Role and Responsibilities:


Calendar Management:

  • Manage and maintain the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prioritize appointments and meetings based on the CEO's schedule and business priorities.

Communication:

  • Serve as the primary point of contact for internal and external stakeholders interacting with the CEO.
  • Manage email correspondence and prioritize messages for action or response.

Documentation and Reporting:

  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Assist in the preparation of reports and presentations for board meetings, executive meetings, and other key events.

Administrative Support:

  • Provide general administrative support to the CEO, including organizing files, maintaining records, and handling confidential information with discretion.
  • Assist in personal tasks and projects for the CEO as needed.

Project Coordination:

  • Coordinate and follow up on various projects and initiatives led by the CEO.
  • Track action items from meetings and ensure timely execution.

Event Coordination:

  • Assist in planning and coordinating events, conferences, and meetings involving the CEO.
  • Arrange logistics, catering, and other event details as required.

Travel Management:

  • Arrange travel itineraries and accommodations for the CEO and occasionally for other senior executives.
  • Ensure travel plans are efficient, cost-effective, and align with business priorities.
Requirements:
  • Proven experience as an executive administrative assistant, senior executive assistant, or similar role, preferably supporting C-level executives.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and anticipate the needs of the CEO.
  • Strong written and verbal communication skills, including professional phone etiquette.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and other office productivity tools.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently with minimal supervision and as part of a team.
  • Bachelor’s degree in business administration, office management, or a related field is preferred.

Additional Requirements:

  • Flexibility to work outside regular business hours when necessary.
  • Knowledge of the IT industry or experience working in a technology-focused environment is a plus.
