We are seeking a highly organized and efficient Administrative Professional with strong dispatching skills to join our team. In this role, you will be responsible for providing administrative support to ensure smooth operations within our office while also managing the dispatching of resources or services efficiently. You're a multitasker, acting as the first point of contact for customer requests, while also arranging the scheduling, reporting, and communication for service calls. You’ll communicate with field teams and customers using messaging apps, email, and telephones. The ideal candidate has proficient computer skills and is comfortable working as a team player. Compensation:

$17 - $22 hourly

Responsibilities:
  • Dispatch Coordination: Effectively manage incoming requests for services, assigning tasks to appropriate personnel or resources in a timely manner. Ensure optimal utilization of available resources to meet service demands
  • Create and change service calls when needed
  • Schedule service calls for customers and field teams
  • Communicate with customers and field teams about service details and special requests
  • Administrative Support: Answer and direct phone calls in a professional manner, manage correspondence (e.g., emails, letters, packages), and handle inquiries or requests promptly and efficiently
  • Scheduling: Coordinate appointments and meetings, managing calendars and scheduling conflicts as necessary. Ensure all appointments and deadlines are met efficiently
  • Record Keeping: Maintain accurate records and files, both electronic and paper-based, ensuring easy retrieval and organization of essential documents
  • Office Management: Oversee general office operations, including ordering supplies, maintaining office equipment, and managing office facilities
  • Communication: Serve as a liaison between internal teams, external partners, and clients, ensuring clear and effective communication at all times
Qualifications:
  • Available to work Monday-Friday from 8 am-5 pm
  • Proven experience in office administration and dispatching roles
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively
  • Excellent communication and interpersonal skills
  • Proficiency in office software (e.g., Microsoft Office Suite) and dispatching software/tools
  • Attention to detail and accuracy in data entry and record-keeping
  • Ability to work independently and as part of a team in a fast-paced environment
  • Enjoys talking with customers and can communicate through verbal and written channels
  • Applicant with experience working with people in stressful and dynamic conditions is preferred
  • Strong knowledge of customer interface and interaction
  • Candidates with 1+ years of experience as a service dispatcher are preferred
