About the Business Administrator Position
Job Description: Reporting to the CEO, this person manages various business operations, including the contracts, programs, and financial administration/management needs of the company. They support business decision making by providing information to leadership and program management by researching and analyzing financial data, managing contracts and preparing reporting. The Business Administrator ensures that records are accurate, consistently maintained, and acted upon within the Enterprise Resource Planning (ERP) tool (Microsoft Business Central). This person will ensure all payment processing is accurate and timely. The Business Administrator will interface with customer contracts officers and specialists to review and implement the required contract documentation including terms and conditions. They will interface with subcontractors to review and implement the required subcontract documentation. This key individual should demonstrate ownership the accounting, financial, contracts, and programs operations of the business in order to help it run efficiently and effectively.
Job Duties:
Business Administration and Management:
- Prepare, audit and process Accounts Payable, Accounts Receivable, sales invoices, expenses, monthly reports, and DCAA compliance utilizing company tools. Administer all accounting, financial, and contracts inputs and outputs using Microsoft Business Central GovCon ERP system. Use of Wide Area Workflow (WAWF) for all Government invoicing.
- Maintain current financial status on a regular basis by collecting, processing, and analyzing information and preparing reports as required.
- Retain constant awareness of the company’s business and operational position and act to proactively prevent problems and support company operations and administration.
- Administration and audit of daily, weekly, monthly, quarterly and year-end accounting, financials, and contracts.
- Prepare provisional rate budgets, actual rates, and annual ICE reports to DCAA.
- Support business development proposal preparation and estimating with historical financial information and analysis.
- Support Programs administration and execution.
- Support business operations analysis, administration and management.
Contracts Administration and Management:
- Review all contracts to ensure
- Terms and conditions are acceptable.
- Contracts are consistent and accurate to what was agreed upon.
- Negotiated terms are implemented.
- Milestones are met per schedule and invoiced in a timely manner.
- Team is aware of contract requirements and impending milestone deliverables.
- Notify customers of any changes, such as changes in milestone delivery dates or Statement of Work.
- Review and set up NDAs with new customers.
- Manage all contract requirements and the interface with customer contracts personnel.
- Manage all contractual inputs and outputs within Microsoft Business Central ERP system. Manage contracts and deliverables in online tools provided by customers.
- Manage company’s S.A.M. database for Government contracting.
Governance, Audit and internal controls:
- Ensure adherence to financial regulations and guidelines.
- Keep current on the latest laws and regulations including EAR and ITAR.
- Apply for and manage export licenses.
- Federal Acquisition Regulations (FAR) and Defense FARS (DFAR) knowledge, understanding and implementation.
- Implement and adhere to General Accepted Accounting Principles.
Skills and Requirements:
- Bachelor’s degree in Finance, Accounting, Business Administration or other relevant business area, and a minimum of 7 years experience. Advanced degree(s) in related field may be substituted for 2 years of experience per degree. Relevant Business Administration experience in a small business environment is a plus.
- Understanding of Government contract requirements including FAR and DFAR.
- Ideal candidate is a power user of Microsoft Dynamics/Business Central. Experience with other Enterprise Resource Planning (ERP) tool will be considered.
- Strong understanding of Microsoft Office tools, such as Excel, Word.
- Ability to work independently on assigned tasks as well as to accept direction on given assignments.
- Ability to work collaboratively with the Leadership team as well as other personnel.
- Strong communications and interpersonal skills.
- Aerospace industry experience a plus.
- Negotiation and conflict resolution.
- Multi-tasking and time management.
- Possession of strong organizational and communication skills.
