Job Title: Project Manager/Construction Administration Specialist

Status: Fulltime, Salary, Exempt

Reporting To: Civil/ Structural Department Head

Required Education: Bachelors in Construction Management and/or PMP Certification

Required Years of Experience: 8+

Travel Required: 75%

Qualities / Competencies & Skills Requirements:

  • Ability to read and interpret drawings and specifications
  • Ability to review construction submittals, and Request for Information (RFI’s)
  • Job site experience, and understanding of the common construction trades
  • Documented experience in and working knowledge of VA programs is preferred
  • The candidate shall be familiar with Federal Acquisition Regulation (FAR) and Veteran Affairs Acquisition Regulation (VAAR) based procurements preferred
  • General construction contracting
  • Specialty trade contracting (HVAC, electrical, plumbing, steel erection, etc.)
  • Healthcare facilities, higher education, K-12 schools, Laboratories, Clean rooms, manufacturing facilities
  • Project management, project engineering, quality control, project administration
  • Ability to always maintain discretion and confidentiality
  • Proficient with MS Office Suite and Bluebeam
  • Experience with ProCore, and Submittal Exchange
Project Management Major Duties:
  • Follow and adhere to the Project Management Guide.
  • Serve as the primary interface and support main communications with the client from initial project efforts throughout the entire lifecycle ending with the post project close-out stage.
  • Monitor and report to Leadership and Direct Supervisor on the progress of the project and make adjustments as necessary to ensure the successful completion of the project.
  • Facilitate the project utilizing a team of technical professionals / SMEs via the appropriate chains of command (e.g. Department Heads)
  • Manage all the project stages utilizing these key elements:
    1. Communications Management
      • Managing client relationships, communications across all stakeholders (both internal & external). Document client interaction; in charge of setting up & running project team meetings; document the meeting minutes; monthly reports.
    2. Scope / Expectations Management
      • Manage the clients’ expectations and help ensure Valhalla executes and performs per the contract document, vs. what the client may want (but not covered per contract). Apply diligent efforts to protect Valhalla company interests by adhering to delivery of contractual requirements while avoiding scope creep and expansion of client expectations.
    3. Time Management and Schedule
      • On-time delivery of all deadlines, including internal ones such as Quality Checks.
    4. Cost Management
      • Project budget(s), including time/hours + costs (i.e. actuals vs. budgeted) and subcontracts.
    5. Quality Management
      • Participate in and facilitate implementation of Valhalla Quality Management Program.
    6. Risk Management
      • Anticipate / identify and plan for project risks – risks might include responses to technical questions &/or change orders - and communicate them to Leadership in a timely manner.
    7. Subcontract Management
      • Lead the development of request for proposals for subconsultants and pricing negotiations.
    8. Prime Contract Management
      • Assist in the project implementation phase including initial SOW/RFP review, project schedule, Project Work Plan, project team assignments, & collaboration/integration across all technical department heads and Overhead groups of stakeholders to lead the project initial set up.
Construction Administration Specialist Major Duties:
  • Interact with multi-disciplinary engineering staff and architects to review Contractor submittals and RFI’s.
  • Provide engineering and architect staff input into various issues based upon their construction experience.
  • Provide constructability reviews of 65% and 95% construction drawings.
  • Visit projects sites during construction to observe placed construction, and ensure construction is consistent with the drawings and specifications.
  • Coordinate across multiple design disciplines, and multiple trades.
  • Work with the Client and Contractor to identify and resolve construction issues.
  • Review Contractor change order proposals.
