REPORTING RELATIONSHIP: Reports to the Director of Human Resources

ESSENTIAL JOB FUNCTIONS:

  • Human Resources Functions
    • Provides superior customer service to our students and employees
    • Function as an assistant to the Director of HR
    • Manage substantial administrative requirements of the department to include scheduling meetings, responding/sending emails, filing, responding to voicemails, conducting intra-office audits, making reservations, ordering supplies and food for events, etc.)
    • Responds to employee inquiries in a timely manner
    • Assist with the performance management process, as needed
    • Assist with updating and maintaining approximately 250 job descriptions
    • Assist with the planning and execution of staff and faculty outings and activities including year-end event, retirements, outings, and celebrations.
    • Creates and updates various reports/excels spreadsheets, employee manual changes, training logs, loan forgiveness forms, and tuition reimbursement activities
    • Paid Notary Public certification and perform said duties for the institution
    • Manages the visa and green card processes for nonimmigrant employees (currently one on staff)
    • Regularly audit city, state and federal posters to ensure compliance.
    • Attend weekly/monthly HR Meetings to discuss objectives, planning and development.
    • Assist with FMLA processing as assigned
  • Recruitment/Onboarding/Offboarding
    • Complete all facets of the recruitment/onboarding process to include requisition completion, posting positions, scheduling interviews (where needed), background check, extending salary offers, drafting and sending acceptance letters, planning and execution of orientation, I-9 form and personnel file setup.
    • Create external resources for recruitment and acquiring high level talent by continually sourcing, connecting, and maintaining ongoing communication with outside agencies
    • Attend external recruitment events (job fairs, and organization site visits)
    • Assist with exit interviews and off-boarding
    • Verifies employment for staff and faculty (where needed)
    • Manage the evaluation process for all newly hired/promoted staff.
  • Student Work Study Program
  • Keeps accurate data of student positions and workers for reporting number of student positions, number of working students
    • Maintains current Work Study job descriptions
    • Inputs Student Work Study data into the HR/Payroll system ensuring hiring paperwork forms are current including verifying I-9 documents
    • Creates and maintains Student Work Study handbook for student employees, revising as necessary
    • Keeps abreast of federal and state laws pertaining to the Student Work Study Program
    • Interacts with the Business Office, Financial Aid Office, and the Office of Academic Affairs regarding the program
    • Communicates effectively with all student workers and supervisors

MARGINAL FUNCTIONS

  • Other job-related duties as assigned by the Director of Human Resource
  • Orders supplies and maintaining a professional office environment, for visitors.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Bachelor’s degree and 2 years’ experience or 3+ years of equivalent HR experience
  • Experience with fully automated Human Resources Information Systems (HRIS) ADP Recruitment preferred
  • Demonstrated experience in recruiting and onboarding
  • Outstanding customer service skills and professional conduct required for all in person, telephone and written correspondence.
  • Ability to maintain a high level of confidentiality
  • Manages time effectively and ensures tasks and deadlines are completed timely
  • High level of organization, planning and prioritizing required.
  • Skilled in data reporting and file management using Excel, Word, and Power Point
  • Ability to create professional, welcoming, working relationships with all faculty, staff, students, and visitors
  • Ability to handle problems, conflict, and deviations with work as they arise.
  • Ability to assume responsibility and learn new processes
  • Ability to write clearly and effectively and demonstrate excellent communication skills

  • Attendance must be in accordance with the College/Department policy
