Job DescriptionJob DescriptionOur client is seeking a dedicated and service-oriented Personal/Family Assistant to join a High-Net-Worth family in Scottsdale, Arizona. This is a close-knit, generous, and value-driven husband and wife team who places a strong emphasis on health and wellness. Their active involvement in successful businesses across education, technology, and health and wellness requires a dynamic assistant who can seamlessly integrate into their fast-paced lifestyle. With multiple residences in the U.S. and abroad, the role demands a candidate who is not only willing to travel but also skilled in managing and overseeing properties with precision and care. Privacy is of utmost importance to this family, so discretion and professionalism are key. The ideal candidate will be detail-oriented, a self starter, expert multitasker, and someone who thrives in a fast paced environment. The Family Assistant will be managing a diverse workload, often juggling multiple projects and tasks simultaneously, and will need to shift priorities at a moment’s notice. Applicants MUST be local to Scottsdale, AZ.

Responsibilities:
  • Create and maintain a comprehensive Standard Operating Procedures (SOPs), including essential contact lists and task management guidelines for the family.
  • Recruit, vet, and oversee home contractors as needed, ensuring high-quality work and conducting performance evaluations.
  • Oversee home repairs and maintenance, ensuring high standards are met.
  • Implement and maintain a streamlined system for household organization, ensuring everything is tidy, easy to find, and efficiently managed. Maintain a weekly schedule to keep everything running smoothly.
  • Manage the family’s daily calendar, optimizing time usage, coordinating appointments, and ensuring timely completion of all tasks.
  • Coordinate and oversee all home maintenance and repairs as needed, tracking schedules, expenditures, and ensuring tasks are completed to a high standard.
  • Manage inventory and order household essentials as needed, from groceries to cleaning supplies, ensuring the home is always well-stocked.
  • Arrange and coordinate complex travel plans, including accommodations and itineraries.
  • Collaborate with the corporate Executive Assistant to synchronize family and business calendars and other tasks seamlessly.
  • Oversee vehicle maintenance, registrations, insurance, and scheduling of regular services like car washes.
  • Receive, organize, and manage deliveries and packages as needed
  • Assist with packing, unpacking, and managing logistics for vacations. Occasionally travel to maintain consistency across the family’s multiple residences.
  • Run errands, purchase gifts, and coordinate services like furniture delivery or window cleaning. Assist with home organization and other ad-hoc projects, as needed.
  • Provide pet sitting services as needed, ensuring the client’s pets are well cared for in their home, including feeding, cleaning, and maintaining their routine.
Requirements:
  • 5+ years as a Personal/Family Assistant, with a proven track record of excellence in similar roles.
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel), Dropbox, Google Drive, ChatGPT, and adept at managing calendars and scheduling appointments.
  • Comfortable and experienced working with pets.
  • Ability to sign and adhere to Non-Disclosure (NDA) and Non-Compete (NCA) agreements.
  • Excellent, verifiable references.

Schedule: This isn’t a traditional 9-5 role. Flexibility and availability are crucial, as you may be required to respond to needs outside of conventional working hours. In return, you will enjoy a flexible work environment where you can operate with a high degree of autonomy, managing your tasks with minimal oversight. Although the position is primarily remote, there will be times when in-person presence at the client’s home is required.
