POSITION OVERVIEW

The Daily Operations Coordinator is responsible for ensuring that the museum floor is staffed and supported by Explainers who are high school and college-aged youth to provide an educational and interactive experience for students, teachers, families, and other visitors. By actively leading and mentoring Explainers, the Daily Operations Coordinator offers support and encouragement to assist in the development and clear activation of their roles in the Science Career Ladder program. This role involves significant cross-departmental collaboration at NYSCI, particularly with the Exhibits and Visitor Experience teams. You will work closely with the Program Manager of the Science Career Ladder and the Explainer program to assess and evaluate staff performance,co-assist in program development, and manage documentation and organization. Additionally, you will coordinate youth schedules and tasks. Your hands-on approach will create a supportive atmosphere for staff, ensuring visitors leave with a memorable and enriched experience.

PRINCIPAL RESPONSIBILITIES

Daily operations and responsibilities

  • Oversee the day-to-day operations to actively support youth on the museum floor, ensuring efficient and effective implementation of program goals. Key responsibilities include morning and afternoon group check-ins, active support and engagement with youth staff on the museum floor, oversee materials inventory, and coordination and ongoing communication with broader operational teams. Represent the Science Career ladder at any operational meetings.

  • Co-develop and maintain daily and monthly schedules, and documentation to track progress and ensure alignment with program goals.

  • In collaboration with the Daily Operations Associate, coordinate with other departments to outsource staff and ensure that staff attend the programs. Build rapport and consistently communicate with leads of events/programs.

  • Support the year round virtual and/or in person recruitment, hiring, and orientation of staff for each rung of the Science Career Ladder that include new and current Explainers. This can include virtual information sessions, attendance at in person events and/or workshops to broaden student awareness of the Explainer program.

Assessment and Evaluation of Science Career Ladder

  • In collaboration with the Program Manager, develop and implement metrics and key performance indicators to monitor program performance and outcomes. To assist with key reports and outcomes for maintenance and quarterly and yearly internal and external documentation.

  • Under the supervision of the Program Manager, you will lead the tracking and assessment of Explainers, involving both the Explainer Leadership Team (ELT) and Explainers. This process will help Explainers understand their standing in the program and provide them with constructive feedback to address areas for growth.

  • In collaboration with department leaders, implement effective data collection strategies to gather accurate and relevant information. Regularly compile, organize, and prepare data sets for reporting and decision-making processes.

Process Improvement

  • Analyze data and prepare comprehensive reports to provide insights into program effectiveness and areas for improvement for Explainers and fellow staff. Help to identify opportunities for process improvements to enhance program efficiency and effectiveness.

  • Lead initiatives to implement best practices, streamline workflows, and optimize resource utilization.

  • Foster a culture of continuous improvement by encouraging feedback, innovation, and collaboration among team members.

Other

  • Attend professional development seminars related to operations, support of floor staff, best practices in youth development.

  • Other related duties, and responsibilities, as assigned.

QUALIFICATIONS
  • Education: Bachelor’s Degree in Education, Sciences, Museum Studies, or related field: and/or its work experience equivalent

  • Experience: 2+ years experience in a museum, youth/workforce development organization

  • Knowledge of youth development and programmatic responses to youth strengths and needs

  • Proven record on organization and system experience

  • Knowledge of Google suite

REQUIREMENTS
  • Ability to plan and organize the activities of others.

  • Ability to develop a budget and manage resources.

  • Ability to assist in the establishment of long-term objectives and specify the strategies and actions to achieve them. Co-develop policies, procedures, methods & standards within the department.

  • Work with the Science Career Ladder team to identify Explainer developmental needs, and then coach, mentor or otherwise help Explainers to improve their knowledge or skills.

  • Monitor and evaluate Explainer performance, recommending and implementing personnel actions, such as promotions and dismissals.

PHYSICAL REQUIREMENTS
  • Ability to sit, stand and walk for extended periods of time

  • Carry materials up to 50 lbs (Science demonstration materials)

  • Move around the museum to different exhibit areas

PREFERRED QUALIFICATIONS
  • Experience managing and leading teams, in a dynamic and fast paced environment.

  • Project management or operational efficiency
