We are looking for a passionate and professional individual to support our Office of the CEO.


Responsibilities include, but are not limited to:

  1. Sophisticated Calendar Management
    1. Ensure excellent management over the scheduling of the CEO's daily meetings/calls/etc. (i.e., diary management); requires constant attention to incoming email requests, ongoing coordination, etc.
  2. Liaison and Support for Board of Directors
    1. Support the Office of CEO in management of the Board of Directors, including meeting and event planning, staffing, and ensuring the CEO actions any post-board meeting items.
  3. Primary Point of Contact/Coordination of CEO
    1. Supports the Office Manager to ensure calls are prepped (e.g. provide briefing notes in advance) and staffed properly and provide notes and follow-up action items to the Chief of Staff for prompt action. 
    2. The primary point of contact for internal and external constituents on all matters for the CEO
  4. Travel Coordinator
    1. Ensure all travel arrangements are made promptly and resolve any issues that may arise before, during, or following any CEO travel. 
  5. Meeting Management
    1. Support the running of the Office of the CEO as it relates to the wider organization; assist in organizing meetings or events, both external and internal, organizing documents, taking meeting notes, ensuring follow-ups as assigned, etc.
  6. Technology Assistance
    1. Provide technology assistance as required
  7. Hospitality
    1. Provides hospitality to all guests of the Office of CEO; helping to create a welcoming environment

 

Key Requirements:

  • 4+ years’ experience at scheduler/assistant level. 
  • Excellent organizational and multitasking skills, attention to detail, and follow-through, as well as strong research and analytical skills.
  • Ability to handle confidential information and projects with professionalism and discretion.
  • Strong written, verbal, and interpersonal communication skills, including excellent editing skills and experience taking meeting minutes and writing detailed briefs and research materials.
  • Ability to work in a fast-paced environment. Flexibility is a must. 
  • Good working knowledge of office practices and procedures.
  • A recognized ability to work with technology: excellent working knowledge of Google Suite, Microsoft Suite, the iOS/Apple ecosystem, and other organizational web applications (i.e., Asana, Salesforce, Slack, etc.)
  • Friendly, confident, and assertive personality.
