Job Summary
The Purchasing Agent is responsible for order entry, tracking and shipment verification of company products. The role will assist other internal departments with tasks related to primary responsibilities including Billing and Customer Operations. The functions of a Purchasing Agent will be performed under little or no supervision in a timely manner and with acceptable quality.
Essential Duties and Responsibilities
- Responsible for accurate and timely ordering of company products with vendors.
- Verify accurate product specifications to meet requirements.
- Perform pricing and cost verification with vendors.
- Verify customer information for ordering and shipping purposes.
- Track the status of all outstanding orders while updating information in corporate Customer Resource Management tool (Salesforce) on a daily basis.
- Provide timely updates on orders and shipments.
- Keep all interested parties updated on the current status of orders and shipments.
- Assist the Billing team with billing and pricing issues.
- Perform research using multiple methods when necessary.
- Confirm that orders are not shipped without customer authorization.
- Process returns, and coordinate them with the Billing team and Customers.
- Ensure that all important information pertaining to orders and shipments is attached to Salesforce as soon as it becomes available.
- Attend Solutions Assurance calls for tracking of high revenue orders.
- Participate in various pilot programs for IBM and Mainline, to help improve processes.
- Maintain key relationships with peers at distributors and other partners/suppliers, escalate issues as needed.
- Work with freight companies to provide customer estimates for equipment re-locations.
- Escalate any freight issues with vendor logistics and/or freight companies.
- Manage the review process of all submitted Attached Hardware Maintenance orders for appropriate purchasing contracts including but not limited to purchase orders, lease agreements, purchase agreements, and signed proposals.
- Monitor and resolve issues on Documentation Pending report in SalesForce
- Coordinate all pending issues with appropriate personnel from Mainline, manufacturers, and distributors.
- Work directly with manufacturers and distributors on order questions, statuses, or customer critical situations.
- Make discretionary decisions based on options while consulting with other involved parties as necessary.
- Other duties as assigned.
- May be required to work long hours periodically.
Knowledge, Skills, and Abilities
- Working knowledge of purchasing policies, processes and procedures.
- Must be detail-oriented and have the ability to handle multiple tasks at the same time.
- Excellent verbal and written communication skills.
- Proficient in computer skills, Internet, and MS Office Suite.
- Ability to perform duties with minimal direction.
Education and/or Experience
- Some college is preferred with an emphasis in business or marketing.
- Minimum of two years of professional office experience is required.
Environmental Factors and Physical Requirements
The environmental factors and/or physical requirements of this position include the following: While performing the duties of this job, the associate is required to have ordinary ambulatory skills sufficient to visit other locations; and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and read application information. The associate frequently is required to sit, reach with hands and arms, talk and hear.
