Overview: We are seeking a dynamic and organized individual to join our team as an Executive Assistant to the Director of Operations at That's Great News. This role will provide essential support in managing the creative design, production processes, and inventory control, ensuring smooth operations and fostering innovation.

Responsibilities:

  • Assist the Director of Operations in day-to-day tasks and strategic initiatives.
  • Coordinate and schedule meetings, appointments, and travel arrangements.
  • Prepare and organize documents, presentations, and reports.
  • Monitor project timelines and deliverables, ensuring deadlines are met.
  • Manage inventory control processes, including monitoring stock levels and reconciling discrepancies.
  • Collaborate with internal teams to facilitate communication and workflow efficiency.
  • Conduct research and provide analysis to support decision-making processes.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Some heavy lifting may be required

Requirements:

  • Proven experience in an administrative or assistant role, preferably in a manufacturing or creative industry.
  • Strong organizational and multitasking skills, with keen attention to detail.
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office Suite and project management tools.
  • Ability to adapt quickly to changing priorities and work well under pressure.

Preferred Qualifications:

  • Knowledge of design software (e.g., Adobe Creative Suite) is a plus.
  • Understanding of manufacturing processes and supply chain management.

Flexible Schedule:

  • 24-40 hrs/wk depending on task load
  • Hybrid Work Possibility
  • Mondays, Thursdays would be required in-office for 8 hours.
