Work Overview

Prestige Healthcare Resources Inc (PHRI) is seeking an experienced, pro-active, thoughtful team member who can make a substantial and valuable impact to the organization. We currently provide services to over 1,500 patients in two different states. We are in growth mode and looking to scale to providing care to over 10,000 patients in 5 different states over the next 3 years. Our focus is advocating and implementing an integrated care model approach to the underserved population undergoing behavioral health related issues.

Primary duties & responsibilities

1. Administrative Support: Provide administrative support to executives, including managing calendars, scheduling meetings, making travel arrangements, and handling correspondence. Prepare documents, reports, and presentations as required.

2. Communication: Serve as the primary point of contact for internal and external stakeholders, including clients, partners, and senior management. Screen and prioritize incoming calls, emails, and messages, and respond or redirect as appropriate. Maintain effective communication channels and ensure timely dissemination of information.

3. Meeting Coordination: Coordinate and schedule meetings, conferences, and events, both internally and externally. Prepare meeting agendas, take minutes, and distribute relevant materials. Ensure meeting logistics are in place, such as venue bookings, catering, and audiovisual equipment.

4. Travel Arrangements: Make travel arrangements for executives, including booking flights, accommodations, ground transportation, and visa arrangements. Prepare travel itineraries and ensure all necessary documents and materials are provided.

5. Information Management: Manage and maintain confidential and sensitive information, both physical and digital. Organize and maintain electronic and paper files, ensuring easy access and retrieval. Handle sensitive information with utmost discretion and confidentiality.

6. Relationship Management: Build and maintain positive working relationships with internal and external stakeholders. Interact professionally and effectively with clients, partners, and colleagues at all levels. Represent the executive in a professional manner and act as a liaison between the executive and other team members or departments.

7. Project Support: Provide support on various projects and initiatives led by executives. This may include conducting research, preparing reports, coordinating project timelines, and monitoring progress. Collaborate with cross-functional teams and ensure project deliverables are met.

8. Problem-solving and Decision-making: Assist executives in problem-solving and decision-making processes by gathering and analyzing relevant information, presenting options, and providing recommendations. Anticipate needs and proactively address issues to ensure smooth operations.

9. Office Management: Oversee the day-to-day operations of the executive's office, including managing office supplies, equipment, and facilities. Coordinate with relevant departments to

resolve any office-related issues and ensure a productive work environment.

10. Continuous Improvement: Stay updated on industry trends, best practices, and technological advancements relevant to the role. Seek opportunities for professional development and actively contribute to process improvements and efficiency enhancements within the executive's office.


Experience and Professional Qualifications

  • Excellent verbal and written communication skills.

  • A bachelor’s degree in a business or communications discipline

  • 5 years' work experience as a senior level administrative assistant or executive assistant.

  • 5 years of work experience in the private sector.

  • Advanced skill in Microsoft Outlook, Word, Excel, and other standard software applications.



Work environment

In this position, standard office equipment like computers, phones, photocopiers, and fax machines are frequently utilized. The tasks are predominantly carried out in an office environment. The work environment described reflects the conditions employees experience when executing the fundamental duties of the role. Proficiency in operating common office equipment is essential. 

Physical demands

The physical requirements outlined are important for employees to effectively fulfill the primary job functions. Reasonable accommodations can be arranged to facilitate individuals with disabilities in performing these functions. While executing the responsibilities, the employee will frequently need to sit, stand, walk, talk, and listen. Although the job is mostly desk-based, it also entails significant walking, standing, bending, and carrying of items like books, binders, files, and documents. The employee may occasionally lift and/or move up to 25 pounds.
