Administrative Assistant

Job Summary: The Administrative Assistant is responsible for providing administrative support to ensure efficient operation of the office. The ideal candidate will have excellent communication skills, a proactive attitude, and the ability to work independently with minimal supervision. The Administrative Assistant will perform a wide range of administrative and office support tasks to facilitate the smooth functioning of the organization.
Responsibilities:
- Serve as the primary point of contact for internal and external stakeholders, including answering phone calls, responding to emails, and handling inquiries promptly and professionally.
- Manage calendars, schedule appointments, and coordinate meetings and conference calls.
- Prepare and distribute memos, reports, and correspondence.
- Maintain and organize physical and electronic files and records.
- Assist in the preparation of presentations, reports, and documents.
- Arrange travel and accommodations for staff members and executives.
- Coordinate and organize company events, including meetings, conferences, and team-building activities.
- Assist with budget tracking and expense management.
- Order and maintain office supplies and equipment.
- Manage and update databases and contact lists.
- Perform general clerical duties, such as photocopying, scanning, and filing.
- Handle sensitive and confidential information with discretion.
- Liaise with other departments and external partners to ensure smooth communication and collaboration.
- Support the HR department with tasks such as onboarding new employees and maintaining personnel records.
- Provide administrative support to executives as needed.
Qualifications:
- High school diploma or equivalent; associate's or bachelor's degree is a plus.
- Proven experience as an administrative assistant or in a similar role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent communication and interpersonal skills.
- Strong organizational and time management skills.
- Attention to detail and accuracy.
- Ability to multitask and prioritize tasks effectively.
- Discretion and confidentiality.
- Strong problem-solving skills.
- Ability to work independently and as part of a team.
Requirements
- High school diploma or equivalent
- Interpersonal communication, writing skills, and highly organized
- At least 1 year of Customer Service experience
- Must be able to lift and carry 50 lbs. for 25 yards
- Ability to work independently with minimal supervision
- Owns a vehicle with a valid Maryland Driver's License
