The Office Coordinator is critical to the success of our school. The Office Coordinator reports to the Operations Manager. The pay rate for this role ranges from $22 to $24 depending on previous experience. Responsibilities include:
- Implement best practices in charter school operations.
- Oversee the day-to-day management of the school office with a commitment to ensuring the health and safety of students, faculty and staff.
- Responsible for procurement of office supplies, materials, equipment, and consistent monthly inventory management.
- Answer the main office line.
- Maintaining a strong presence at the front desk, serving as the initial point of contact for visitors and a day-to- day contact for students and families, ensuring compliance with check-in procedures, and answering phones
- Be the first point person when a student comes to the office sick or in need of first aid. Communicate illness/injury to parents. Follow protocol of documenting serious injuries in injury log.
- Ensure vaccination compliance.
- Oversee enrollment paperwork process and input of information into student database system in a timely fashion.
- Maintain integrity and accuracy of student records, including maintenance and tracking of attendance.
- Ensure cumulative files for all students are received at the beginning of the year.
- Ensure truancy letters are sent out on a monthly basis.
- Support logistics for Open Houses, Orientations, Parent Conferences, Family Dances, and other community events.
- Lunchtime supervision.
- Oversee pick-up and drop-off of students.
- Ensure emergency supplies & teacher materials (i.e. rosters) are up to date, adequate, and in compliance.
- Support operational and logistical projects for school, when needed.
- Manage and reconcile school’s petty cash funds.
- Manage accounts payable processes including but not limited to creating purchase orders, entering invoices into system, submitting invoices for approval, communicating with 3rd party back office provider.
- Create deposits.
- Collect and submit credit card receipts for all credit card holders.
- Coordinate with 3rd party back office provider to prepare documents for year-end financial audit.
Qualifications include:
- Fluency in Spanish
- Shows commitment to the mission of our organization and demonstrates passion for supporting low income Latina girls in opening up to their full potential.
- Demonstrated desire to work with a diverse group of families and students.
- Strong attention to detail.
- Ability to manage multiple tasks and meet deadlines in fast paced environment.
