The Administrative Assistant position is responsible for providing administrative support to ensure efficient operation of the office, support management team through a variety of tasks related to organization and communication, maintaining discretion with confidential and time sensitive material, being able to effectively communicate via phone and email, ensuring that all administrative duties are completed accurately and delivered with high quality and in a timely manner, and relying on experience and judgment to plan and accomplish goals and have a wide degree of creativity and latitude for our unique dynamic. This role will assist the General Manager, Controller/HR, and Facilities Manager as the communication interface with all clients regarding services.

Administrative assistant responsibilities and skills:


Serve as the Front of Office Face in the Reception Office
Answer and direct phone calls
Organizational Skills for a small office
Receive, sort, and distribute the mail
Manage staff appointments
Greet and assist contractors/visitors to the office
Photocopy and print out documents
Provide polite and professional communication as directed
Implement clerical duties and administrative processes
Maintain all contact lists & records
Produce and distribute correspondence memos, letters, faxes, and forms
Assist in the preparation of regularly scheduled reports
Maintain monthly reports for Board use
Develop and maintain a filing system for physical files and electronic records
Supply Management/Inventory Control which includes maintaining supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
Personal characteristics including resilience, a courteous demeanor, a willingness to contribute to a collaborative problem-solving environment, a high degree of personal integrity and maturity
A collaborative, team-oriented attitude
Take dictation-minutes from meetings
Handle multiple assignments
Ensure operation of office equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
Write letters and emails on behalf of Management team
Handle sensitive information in a confidential manner
Develop and update administrative systems to make them more efficient

Administrative assistant requirements:


5+ years administrative experience in a professional office setting
Knowledge of office management systems and procedures
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
Strong people skills
Computer literacy and ability to work with project management software (Rent Manager) in addition to MS Office products, specifically Publisher, Word and Excel.
Undergraduate degree or equivalent work experience
