International Executive Administrative Assistant

Schedule:

Full Time: 8:00am – 5:00pm, Monday – Friday

Position Summary:

The international executive administrative assistant is professional support for multiple executives in an organized and confidential manner. Perform a wide variety of tasks related to executive’s work life.

Position Responsibilities:

  • Serve as a liaison for executives.
  • Work directly with multiple executives supporting various aspects of their daily routines.
  • Develop customized reports by analyzing and structuring data into meaningful, dynamic, financial, and general KPI dashboards.
  • Assist in the preparation and storage of international legal documents as required.
  • Travel arrangements (flight/lodging/transportation), visa acquisitions, and international guest invitations.
  • Event planning and facilitating for international staff/guests/customers.
  • Set professional appointments.
  • International product quotations
  • Support subsidiaries and distributors in various capacities.
  • Maintain international personnel and customer data for various programs.
  • Distribute customized and standard company reports.
  • Maintain paper and electronic filing systems.
  • Maintain office supply levels and monitor equipment performance.

Position Requirements:

  • Experienced admin with a demonstrated history of providing professional support.
  • Full comprehension of office management systems and procedures
  • Exhibit sound judgement, discretion, and confidentiality.
  • Basic knowledge of accounting practices
  • Planning and time management skills
  • Eagerness to tackle new projects.
  • Ability to multitask and prioritize.
  • Microsoft suite proficiency, advanced Excel skills required.
  • Capable of cultivating productive work relationships
  • Ability to function with minimal supervision.
  • Resourceful

Education/Certifications:

  • Bachelor’s degree or 5+ years executive administrative support
  • Experience in accounting, payroll or finance preferred.
  • Notary
