What you'll do:

  • Provide administrative support to the executive team:
    • Manage President & CEO’s calendar, schedule meetings, prepare communication materials, and provide general clerical assistance.
    • Draft and send letters for President & CEO.
    • Receive call requests for President & CEO, screen & transfer or resolve requests as appropriate.
    • Assist with preparing correspondence, presentations, reports, surveys and other documents.
    • Manage and accurately update the strategic plan priorities status and key performance indicators monthly and distribute them to staff.
    • Set up video conference meetings and facilitate them as needed.
    • Track event registrations and sponsorships.
    • Maintain a high level of confidentiality.
  • Serve as point of contact for the office space, submitting work tickets as needed and communicating to the HR assistant and staff.
  • Plan, organize, and execute various events, including Board of Directors and committee meetings, conferences, seminars, workshops, and networking events.
  • Assist the Chief Operating Officer (COO) and Chief Customer & Compliance Officer (CCCO) to ensure standards, procedures and special projects plans are followed and met.
  • Assist department directors with special projects as requested and time allows, including staff training and project management.
  • Maintain appropriate interpersonal relationships with employees, board and committee members, businesses, and consumers.

What you bring to the table:

  • 4-6+ years of business/clerical experience
  • Four-year college degree preferred in business or related field
  • Multi-task and prioritize to meet deadlines for multiple projects
  • Ability to handle confidential information with integrity
  • Communicate clearly in verbal and written communication with all levels of staff, committee and board members
  • Flexible, detail-oriented, adaptable, responsible team player able to work independently collaboratively
  • Responsive internal customer service
  • Professionalism that extends to email, presentation and phone skills
  • Proficiency in Microsoft 365, Word, Excel and PowerPoint. Administrator level knowledge of SharePoint, Zoom, monday.com or other project management software helpful.
