We are looking to add a highly motivated Scheduling Administrative Assistant to join our team

Pay: $30.00 - $35.00 Per hour, Depending on Experience + Performance Bonuses

Hours: Monday through Friday; 6:30am - 3:30pm with a 1-hour lunch

Job Duties:

  • Manage Service Dispatch - dispatch service calls, maintenance and project calls using Work Order Management based on skills and customer needs while maintaining profitability
  • Master Audit process following the timelines of the department weekly workflow
  • Utilize XOi software for work order details
  • Comprehensive understanding of maintenance agreement coverages
  • Proactive and current maintenance scheduling - minimal deferred scheduling
  • Preorder maintenance supplies for most cost-effective purchase
  • Maintain parts & material inventory
  • Update and maintain accurate customer & contact information in Click-Up, our project management software
  • Coordinate with sales, operations and customers for New Maintenance Start-Up
  • Maintain a 95% utilization rate for all technicians
  • Communicate with the field and customers to schedule necessary return and follow-up visits

Required Qualifications / Skills:

  • 2+ years' experience in customer service or related field
  • Excellent telephone, organizational, and communication skills (both written and verbal)
  • High energy, positive attitude, and comfortable in a team environment
  • Proficient using Microsoft Office Suite
  • Skilled in learning new software programs
  • Prioritization and organizational skills; ability to multi-task and attention to detail
  • Geographical Knowledge of service area and map reading skills

Desired Qualifications:

  • Prior service dispatch experience
  • Knowledge in commercial HVAC
  • Experience using dispatch software
