The Global Health Advocacy Incubator (GHAI) supports civil society organizations advocating for public health policies that reduced death and disease. We bring a proven advocacy approach and a global network of local partners, built on a 25-year track record of success across multiple issues in more than 60 countries. GHAI is an initiative of the Campaign for Tobacco-Free Kids.

The Operations Associate will be an important member of the International Communications Team. The Associate will help maximize the efficiency of our dynamic network of communicators in Washington, DC and around the world and fulfill our mission of implementing strong communications strategies in priority countries. The Associate will also support selected regional and country teams.

The Associate is responsible for three key areas of support: 1) processing and tracking invoices, vendor payments, contract and expense reporting; 2) organizing logistics for international and D.C. based meetings and events which includes making travel arrangements, securing travel visas and managing invitations; 3) calendar management and setting up meetings for several leaders on the Global Tobacco Control program.

This full-time position is based in Washington, D.C. and will report to the Vice President of International Communications. Staff work under a Hybrid work model with the requirement that staff work at least three days per week in the Washington D.C. office. COVID-19 vaccinations are a requirement for all employees.


WHAT YOU'LL ACCOMPLISH:

• Timely and accurate processing and tracking of a high volume of consultant and vendor invoices, payments and contracts

• Reconcile monthly credit card billing statements.

• Preparing bank deposits, general ledger postings and statements.

• Prepare expenses reports in the Concur System and assist in processing travel expenses.

• Organize all the logistical aspects of international and D.C. based meetings, events and conferences including making travel arrangements, and securing venues and catering, participants’ invites, certificates.

• Support the International Communications Team and select regional teams with calendar and meeting management.


SKILLS YOU'LL BRING TO THE ROLE:

• Bachelor’s degree required with at least three (3) years’ experience in operations or accounting.

• Excellent organizational skills.

• Strong oral and written communication skills

• Strong attention to detail.

• Ability to prioritize and multi-task in a fast-paced environment; team-oriented environment while juggling multiple projects and deadlines.

• Ability to take initiative, solve problems creatively and work independently.

• Experience working at the international level and in cross-cultural settings a plus.

• Fluency in English required and the ability to speak additional languages is a plus.

• Proficiency with entire Microsoft Office 365, advanced Excel skills preferred.

• Experience with Raisers Edge, and SAP Concur Expense Management System preferred.

• Ability to maintain confidentiality.
