Right at Home West LA, situated on 14th Street in Santa Monica, holds a license as a Home Care Organization and caters to the requirements of clients across the entire West Los Angeles region. Job Summary:
Guarantees that all shifts requested by clients are adequately scheduled with appropriate care staff (refer to the provided list). Assists with various office administrative tasks as assigned or requested.

Overview of Responsibilities (not exhaustive):
  • Coordinates day-to-day activities of caregivers, scheduling them with clients and organizing tasks
  • Inputs new client and schedule information into Clear Care software, ensuring correct information/schedules
  • Manages phone inquiries and messages professionally
  • Provides prompt and courteous responses to incoming calls
  • Maintains ongoing communication with colleagues and clients to assess service quality
  • Handles pre-payroll tasks, verifying clock-ins and clock-outs, and updating computer records for billing and payroll processing
  • Keeps comprehensive Caregiver work records in designated systems (such as Clear Care) and maintains up-to-date personnel files for care staff
  • Assists HR Manager in aspects like recruitment, associate onboarding, orientations, in-services, and addressing disciplinary matters, as required
  • Escalates reports of client dissatisfaction, theft, and inappropriate behavior by clients or care staff to appropriate management channels (HR, Client Care Manager, supervisor, or owner)
  • Undertakes on-call/after-hours coordinator duties as necessary
  • Serves as a liaison between care staff and Client Care Manager/Human Resources
  • Supports sales, marketing, and public relations efforts as needed
  • Steps in to assist clients in case of call-offs or emergencies, up to 50% of the time if required
  • Performs other responsibilities as assigned by management
Additional (non-essential) Functions:
  • General office and clerical tasks
  • Tasks assigned by Management Staff
  • Acting as a caregiver in cases of staffing emergencies
Education, Experience, Skills, and Availability:
  • High school diploma or G.E.D. certificate (preferred)
  • Over 6 months of experience in staff scheduling within Home Care Organizations, LTC Facilities, etc. (preferred)
  • 1 year of office experience encompassing phone handling, service inquiries, scanning/filing, and proficiency with Microsoft Office, internet, and company software
  • Familiarity with Wellsky (Clear Care) scheduling and staffing software (preferred)
  • Registration with the Department of Social Services for Home Care Aide License (required, can be obtained post-hiring)
  • TB Test within 90 days or 7 days after hiring
  • Over 6 months of experience as a Personal Care Assistant/Home Care Aide/Caregiver
  • CPR Certification (required within the first week if not current)
  • Capability to lift at least 50 lbs. with or without reasonable accommodations
  • Valid driver's license and access to an insured/registered vehicle
  • Ability to commute to Santa Monica Corporate office, Monday to Friday, from 8 am to 5 pm (No remote work)
