DONOR ENGAGEMENT ASSOCIATE (20 hours/week)


Martha’s Table requires all team members and classroom volunteers to have completed a COVID-19 primary series and received one booster dose. Team members who are not yet eligible for a booster must submit proof of their booster vaccination within 2 months of receiving their final primary series dose or an original monovalent booster vaccine to hr@marthastable.org.


Martha’s Table will consider waiving the vaccination requirement for:

  • Team members who object in good faith and in writing, pursuant to procedures established by the City Administrator or his or her designee, that the employee’s vaccination would violate their sincerely held religious beliefs; and


  • Team members who have obtained and submitted written certification from a physician or other licensed health professional who may order an immunization, that being vaccinated for COVID-19 is medically inadvisable because of the employee’s medical condition.


Team members who believe they qualify for either exemption must submit a request for a waiver along with appropriate documentation to support their request to hr@marthstable.org.

POSITION OVERVIEW

The Donor Engagement Associate coordinates fundraising activities, researches donor prospects, engages with donors through personalized communications, and ensures meticulous management of donor information to foster strong relationships.


POSITION DUTIES & RESPONSIBILITIES

Prospect Research

  • Generates prospect research data using available tools to assist the Senior Major Gifts Officer in optimizing their major gifts portfolio
  • Compiles information about long-standing donors' history with the organization to complete understanding of
    relationships.


Donor Relations

  • Supports donor cultivation and stewardship efforts by providing timely updates and personalized communications.
  • Conducts outreach calls and follows-ups to donors before and after events.
  • Maintains notes from and confidential records related to donor solicitation strategies, history, meetings, and outreach
    in the organization's CRM system.
  • Generates regular reports of donors to flag for additional follows-up and stewardship, in collaboration with the Senior Major Gifts Officer
  • Develops draft materials to support the engagement of major and planned giving donors, including welcome messages, and monthly updates
  • Compiles individualized stewardship report drafts for donors as needed.
  • Ensures success stories, thank you cards, and other donor stewardship materials are readily accessible and updated with fresh content to maximize individual donor engagement.
  • Works closely with the Senior Major Gifts Officer to provide administrative and logistical support for donor relations activities, including cultivation, acknowledgment, annual reports, and end-of-year appeals
  • Captures donor impact report drafts on an annual/biannual basis and ensure the accuracy of donor recognition lists included in impact reports, website, and other areas


Fundraising Event Support

  • Plans, coordinates, and executes various events, including fundraisers, donor appreciation events, volunteer
    orientations, and community outreach activities.
  • Manages all aspects of event logistics, including venue selection, catering, invitations, registration, and audiovisual
    requirements.
  • Collaborates with vendors, sponsors, and partners to secure support and resources for events.
  • Assist swith logistics for fundraising and donor stewardship events.
  • Manages RSVP lists


Collaboration

  • Collaborates with Development Team to execute a range of engagement opportunities that builds relationships with donors–from volunteer opportunities to Martha’s Table Annual Benefit (MTAB)


Data Management

  • Maintains accurate donor and prospect records in the organization's database (e.g., BIAWA database, Salesforce), ensuring data integrity.
  • Ensures accurate lists for communications, acknowledgment, analysis, and planning.


Miscellaneous

  • Attends at least 2 anchor events annually
  • Performs other duties as assigned

EXPERIENCE, KNOWLEDGE, AND SKILL REQUIREMENTS

  • Event Planning and Management: Experience in planning, coordinating, and executing events is valuable for organizing fundraising activities, donor appreciation events, and community outreach activities. Skills in venue selection, catering, registration, and logistics management are necessary for successful event execution.
  • Organizational Skills: Strong organizational skills are necessary for planning and executing fundraising events, managing donor relationships, coordinating logistics, and maintaining accurate records. Attention to detail and the ability to multitask effectively are important in this role.
  • Communication Skills: Excellent verbal and written communication skills are essential for interacting with donors, volunteers, vendors, and other stakeholders. The ability to convey the organization's mission, impact, and fundraising needs effectively through various communication channels is crucial.
  • Interpersonal Skills: Building and maintaining relationships with donors, volunteers, and community partners require strong interpersonal skills. The ability to engage with diverse stakeholders, listen actively, and demonstrate empathy is vital for fostering positive relationships and donor stewardship.
  • Research Skills: Proficiency in prospect research is essential for identifying potential donors and understanding their interests, capacity, and philanthropic history. Research skills also help in gathering information about donors' relationships with the organization and tailoring solicitation approaches accordingly.
  • Data Management and Analysis: Competency in maintaining accurate donor records, managing databases (e.g., CRM systems), and generating reports is important for tracking donor interactions, analyzing donor trends, and identifying opportunities for donor cultivation and stewardship.
  • Collegiality – the ability to develop and maintain good relationships with colleagues on other teams across our organization, as well as points of contact at partner organizations.
  • A proactive nature, willing to roll up one’s sleeves to help out the organization in ways that fall outside the job description, such as taking part in volunteer shifts.
  • Creativity – finding new, innovative ways to communicate with funders/prospects and leverage our communications resources.

EDUCATION AND TRAINING REQUIREMENTS

  • Bachelor’s degree in English, business, liberal arts, communications, or related field OR 1-2 years of experience in development, demonstrating a successful track record creating annual giving campaigns, soliciting gifts, and conversion strategies.

  • Strength: Ability to lift, push, pull and/or carry objects which weigh as much as 20 pounds 
  • Environmental Requirements: Ability to encounter constant work interruptions; work cooperatively with others; work independently; work indoors.
  • Mental Requirements: Ability to read, write, understand, interpret and apply information at a moderately complex level essential for successful job performance; math skills at a high school proficiency level; judgment and the ability to process information quickly; learn quickly and follow verbal procedures and standards; give verbal instruction; rank tasks in order of importance; copy, compare, compile and coordinate information and records. Understand how to manage stress.
  • Remote Work Requirements: 50% in office; 50% remote. Flexibility to work nights and weekends as needed (e.g. for anchor events)
  • Additional Work Conditions & Physical Abilities: Ability to be flexible and adapt as needed between various in-person working environments. The walking and standing components are primarily related to occasional meetings and interviews with key stakeholders. Driving/commuting is sometimes also necessary for partner or community meetings/events.
