Job Summary:

The Group Rooms Billing Supervisor will ensure that hotel groups have a successful post event experience by establishing and serving as the point of contact for all billing, commissions and rebates. The Group Housing Rooms Supervisor will also support the Group Rooms Reservations team with attrition processes.

Duties:

  • Review and reconcile group rooms bills with the Group Rooms Reservations Coordinators and Accounting Specialist.
  • Organize, secure, maintain all files and records in accordance with policies and procedures
  • Record, store, access and/or analyze computerized group rooming and financial information.
  • Must be able to utilize Opera and Delphi Salesforce. Ability to run reports and customize as needed.
  • Manage group concessions post-event for accuracy. Understand key components of contracts that relate to the final bill including complimentary rooms, earned comp policy, staff rates, rebates, commissions, housing fees, attrition, cancellation.
  • Working with third parties to provide accurate final pickup and financial data for contracted commissions due.
  • Oversee attrition process with Group Rooms Reservations Coordinator / Manager.
  • Business acumen to determine financial priorities on reconciliation of groups
  • Prepare check requests with appropriate supporting documentation for refunds or payment for contracted concessions.
  • Ensure compliance with standard operating procedures.
  • Work closely with various departments and outside entities to achieve successful group final billing.
  • Provide billing, rebate & commission processes training & documentation.
  • Anticipate and address guests’ service needs as it pertains to post event group billing.
  • Perform other duties as requested.

Requirements:

  • Minimum 2 years of experience in a reservations and/or accounting role at a major property
  • Excellent leadership abilities and the ability to manage several associates at one time
  • Strong time management, problem-solving, and multitasking skills
  • Develop and maintain positive working relationships with others.
  • Ensure adherence to quality expectations and standards.
  • Strong computer skills, including Word and Excel
  • Excellent written and verbal communication skills; ability to prepare and review written documentation
  • Excellent, professional communications skills. Fluency in English, both verbal and written
  • Demonstrate strong initiative and self-direction
