Job DescriptionJob DescriptionDescriptionThe Jed Foundation (JED) is a nonprofit organzation that  protects the emotional health and prevents suicide for our nation’s teens and young adults. The Human Resources Coordinator provides administrative and project support to the People/HR & Equity Team. As a primary representative of the department, this position interacts with staff members to answer general HR-related questions. They also manage scheduling and expenses for the Chief of People & Equity and the team.  The HR Coordinator will work closely with the People & Equity Team and other departments to ensure a positive and productive work environment for all staff members. The position requires flexibility, strong organizational, interpersonal and  customer service skills, the ability to work in a fast-paced environment on several projects and tasks simultaneously, and a strong eye for detail and ability to appropriately manage confidential information.
Key Responsibilities
  • As a primary representative of the department, fields/triages phone calls/messages for People & Equity Team, providing guidance on personnel policy and procedures.
  • Provides administrative support to the People & Equity Team including scheduling meetings, expense report reimbursements, and ensuring process documents are up-to-date to ensure internal protocols are well captured and communicated to staff. 
  • Updates organizational charts, staff lists, Intranet sites, user guides, and other HR documents that help keep staff members well informed.
  • Coordinates with managers to develop, update and track job descriptions.
  • Assists in the recruitment process by posting jobs, screening resumes, and coordinating interview schedules, and conducting background checks.
  • Administers timely onboarding and orientation for new hires including collecting required information for employment, sending our new hire notifications, coordinating new hire equipment setup, facilitating new hire orientation processes including sessions, other related checklist items, and scheduling associated meetings.
  • Coordinates offboarding, sending out departure notifications, resignation notifications, coordinate equipment return/termination of systems.
  • Creates and distributes internal communications regarding new hires, departures, status changes, benefits, and company policies. 
  • Executes HR processes in accordance with state and federal legal requirements.
  • Updates and monitors HR projects tasks in project management systems. 
  • Prepares employee correspondence, including letters for compensation adjustments, job and level changes, performance review process, etc.
  • Makes photocopies; distributes mail (incoming and outgoing), monitors general email box, scans and emails documents; and performs other clerical functions.
  • Accurately enters data into HR and other systems, and maintains employee files.
Other Duties
  • Performs other related duties as assigned.
  • Manage the Info@jedfoundation.org mailbox
  • Handle mail distribution and coordinate with CARR Mail Services
  • Attend full JED staff meetings.
  • Attend other JED programming and events, when possible.
  • Serve on JED committees/projects as needed and as assigned by and discussed with the immediate supervisor.
  • Limited travel as necessary.

Skills Knowledge and Expertise
  • 3-4 years of experience in a role supporting HR departments and executing HR processes.
  • Familiarity with NYS state and federal guidelines and requirements that pertain to HR practices.
  • Demonstrated ability to prioritize tasks, manage multiple tasks at a given time, organize time effectively, and respond to changing deadlines.
  • Excellent written and verbal communication skills.
  • Demonstrated effectiveness in a team setting and self-driven/independent motivation
  • High level of customer service orientation.
  • Demonstrated ability to thrive in a fast-paced environment with many moving parts.
  • Maintain confidentiality and work in a professional manner.
  • Flexible and adaptable. 
  • Mastery with MS Office Suite (Word, Excel. Teams, Powerpoint, etc), google environment, navigating various platforms.
  • Advanced level Excel skills preferred. 

Pay Ranges / Location / Travel InformationPay Ranges:
The range listed on this job posting is based on JED's compensation posting ranges. Salaries may be higher or lower depending on experience and geographic location.

Location/Travel Information:
Please note that this is a hybrid position, based in the NYC Metropolitan Area (maximum 90-minutes proximity). While primarily remote, the role involves attending certain business meetings, retreats, and other events in-person, with additional travel as requested.

Additionally, please be aware that JED is unable to reimburse relocation expenses for individuals not residing in the NYC Tri-State / Metropolitan Area.
