KEY RELATIONSHIPS AND TEAM:

The Accounting Assistant will work collaboratively and directly with the finance team, employees, external customers and vendors to ensure the daily accounting responsibilities and processing is completed accurately and efficiently along with supporting the business in administrative roles.


THE OPPORTUNITY:

As an Accounting Assistant, you will support the Finance department in various tasks, including accounts payable/receivable, financial record maintenance, journal entry, financial reporting, and administrative duties. This position will be based out of our Tallahassee office and is an excellent opportunity for someone looking to gain experience in the field of accounting and contribute to a dynamic team environment.

Specifically, the Accounting Assistant will have responsibility to:

  • Assist with accounts payable tasks, including processing invoices and verifying expenses.
  • Handle accounts receivable duties, such as generating monthly statements, tracking payments, and following up on outstanding balances.
  • Maintain accurate and up-to-date financial records using accounting software.
  • Assist in month-end and year-end closing procedures, including reconciling accounts, billing, and recording corporate credit card charges.
  • Recording journal entries for daily cash activity.
  • Make daily check deposits and record customer remittances in an accounting software system.
  • Manage accounting email box daily, responding to questions and escalating messages as needed.
  • Record accounts payable vendor bills in Bill.com daily, ensuring proper coding and workflow approvals.
  • Assist in daily office administrative roles.
  • Other duties as assigned.


Professional Qualifications:

The following knowledge, skills, education, and experiences are required:

  • HS Diploma or GED
  • 1 year of basic accounting or bookkeeping experience, including making journal entries
  • Experience using MS Office products, such as Outlook, Excel, and Word
  • Ability to use spreadsheets to analyze data
  • General knowledge of accounting principals
  • Task oriented with strong attention to detail
  • Time management skills with the ability to conduct timely responses to customer needs with reliable follow up on open items
  • Excellent communication skills
  • Ability to work in a team environment
  • Ability to learn and navigate technology-based systems
  • Ability to think critically and problem-solve
  • Excellent communication skills.

The following knowledge, skills, and experiences are preferred, but not required:

  • Prior experience in accounts payable, accounts receivable or bookkeeping.
  • Experience with NetSuite or similar accounting system.
  • Experience with Bill.com
  • Completed or is pursuing a degree in accounting, finance, or business management.
