Position Overview The Agency Operations Manager plays a critical role in ensuring the smooth functioning of our insurance agency. This position involves overseeing day-to-day operations, optimizing workflows, and enhancing overall efficiency. This role collaborates with various departments, trains staff, and monitors performance metrics to achieve the agency's annual goals and long-term vision.

Employment Type: Regular Full-Time, Exempt, Flexible Work Structure

KEY RESPONSIBILITIES

Agency Management System (25%)

  • Implement strategy to maintain agency management system (AMS).
  • Ensure data accuracy, system updates, including managing carrier download process.
  • Troubleshoot issues and collaborate with software vendors, contractors and support teams.

Workflow Optimization: (25%)

  • Analyze existing workflows and identify areas for improvement.
  • Streamline processes to enhance productivity and reduce redundancies.
  • Implement best practices across the agency.

Staff Training & Development (25%)

  • Develop training programs for new processes and systems.
  • Conduct training sessions for agency staff.
  • Exhibit a culture of continuous learning.

Reporting and Quality Assurance: (10%)

  • Generate regular reports to measure agency performance metrics.
  • Monitor key indicators such as sales, customer satisfaction, and efficiency.
  • Implement quality assurance measures to maintain high standards.

Enterprise Integration and Collaboration: (15%)

  • Work closely with agency leadership team to align operations with overall agency goals and long-term vision.
  • Manage the integration of other systems and software including Microsoft, Phone, and other systems in conjunction with IT system team which are critical to day-to-day operations.
  • Provide feedback on system efficacy, evaluate and make recommendations on software selection process.
  • Administration of carrier user system access.
  • Additional responsibilities and projects, as assigned.

REQUIRED POSITION COMPETENCIES

  • 2-3 years in a leadership role
  • Proficient in Applied Epic management system
  • Active Property & Casualty Insurance license
  • Proficient in Microsoft Office Software including Word, Excel, Teams and SharePoint.
  • Ability to meet deadlines and coordinate complex tasks related to client interactions and policy management.
  • Passionate about the customer experience and how it can transform businesses
  • Strong analytical skills and attention to detail
  • Process-oriented mindset
  • Strong leadership skills with a history of motivating great teams
  • Excellent communication and customer relations skills
