POSITION DESCRIPTION

 

The Administrative Assistant assists the staff of the Secretariat of Catholic Education by providing administrative and technical skills to manage the office, special projects, communications to the Catholic school community, and the office website.  Assists in the production of necessary resources, planning, and carrying out of meetings and conferences that foster the mission and programs of the Office.  Contributes to the Bishops’ strategic plan for the Conference.  Demonstrates willingness and ability to understand, respect, and contribute to the USCCB mission and to fulfill job duties in accordance with its Catholic identity.

 

MAJOR DUTIES AND RESPONSIBILITIES

 

  1. Coordinates meeting and materials necessary for the Committee on Catholic Education and other necessary meetings of the Secretariat.  
  2. Responsible for arrangements of staff travel/hotel arrangements for Committee on Catholic Education and other necessary meetings of the Secretariat.
  3. Coordinates activities and production of materials necessary for the Office’s annual Federal Assistance Advisory Committee. 
  4. Collaborates with the Executive Director, Associate Director, and Assistant Director in the production of necessary resources, e-mails and memos needed to advance the mission of the Office. 
  5. Attends all Office staff meetings and updates staff on issues relating to the running of the Office. 
  6. Assists in the development of the annual budget. 
  7. Handle the regular review of budget variances and process and payment of necessary bills.
  8. Assists in the maintenance of the USCCB strategic plan for the Secretariat of Catholic Education.   
  9. Prepares necessary correspondence, documents, and reports. 
  10. Responsible for maintaining the good order of the office including ordering office supplies, furniture, mail, and emails.  
  11. Responsible for managing and updating the Office website and social media accounts.
  12. Collaborates with IT in the technical administration of the Office computers and the updating of the list serves. 
  13. Responsible for regular and electronic filing of letters, materials, reports, and archives.

 

PRACTICAL EXPERIENCE

 

  • General office management and/or secretarial support, particularly in a religious or non-profit environment
  • Strong attention to detail. Ability to use independent judgment and take initiative 
  • Ability to establish priorities, handle multiple tasks, and meet deadlines. 
  • Experience that demonstrates the ability to read reference material, obtain information and/or perform intermediate mathematics. 
  • Experience assisting with budget planning and preparation. 
  • Desktop publishing experience that demonstrates ability to compose text, edit and proofread documents.  
  • Scheduling meetings and taking minutes. 
  • Ability to handle confidential and sensitive communications. 
  • Work collaboratively with peers, colleagues and others to achieve mission goals and objectives. 
  • Ability to follow established policies and procedures. 

 

QUALIFICATION REQUIREMENTS

 

Level: Bachelor’s degree preferred, but 2 years of Secretarial/business school or a combination of work and education may substitute.

Major Field/Specialty: English, Communications, Information Technology

Language Requirement: English and Spanish 

Number of Years Required: 2-3 years of directly related experience

 

Must live in the DC Metro region.

Starting salary for this position: $53,911.00

Upper range: $65,035.00.
