We are looking for a dedicated Payroll Specialist to join our team In this role, you'll play a crucial part in preparing and processing weekly and bi-weekly payrolls, ensuring that everything runs smoothly for our valued employees. What You'll Do:

  • Ensure Timely Payroll Processing: You'll be responsible for processing payroll accurately and on time, meeting all deadlines for submissions.
  • Oversee Time Management: Manage and oversee the proper functioning of our time clock system, ensuring accurate timekeeping.
  • Manage 401k Contributions: Ensure the timely submission of 401k contributions, making sure our employees' futures are secure.
  • Payroll Journal Entries: Input Payroll Journal Entries (J/E) weekly to keep our records up-to-date and accurate.
  • Reconcile Payroll Deductions: Regularly reconcile payroll deductions in the bank statement, ensuring everything aligns perfectly.
  • Monitor Benefits: Keep a close eye on benefit deductions to ensure accuracy and resolve any discrepancies.
  • Maintain Employee Records: Update and maintain employee records, ensuring all information is current and accurate.
  • Support Our Team: Step in as a backup for other office needs, providing support wherever it's needed.

Additional Responsibilities:

  • Data Management: Use accounting software to record, store, and analyze financial information.
  • Payroll Processing: Handle the preparation and processing of payroll for 500+ employees, coordinating efforts between payroll, HR, and other departments.
  • Reporting: Prepare and distribute detailed reports, including overtime, leave balances, headcount, and retirement contributions.
  • Timekeeping Administration: Administer the electronic timekeeping system, ensuring valid data transfers and monitoring approved timesheets.
  • Employee Records Management: Establish and maintain employee records, ensuring compliance with company policies and federal/state/local regulations.
  • Training & Support: Provide training to managers and supervisors on the payroll system and offer support to HR and employees regarding pay and deductions.

What We're Looking For:

  • Education: High School Graduate required; Associate's Degree in Accounting preferred.
  • Independence: Ability to work independently and troubleshoot any issues that arise.
  • Communication: Excellent communication skills, both verbal and written, to clearly convey information.
  • Attention to Detail: A sharp eye for detail, ensuring accuracy in every task.
  • Professionalism: A professional demeanor with outstanding interpersonal and customer service skills.
  • Technical Skills: Strong understanding of integrated and automated payroll accounting systems, with proficiency in Microsoft Office Suite.
  • Confidentiality: Ability to maintain confidentiality and exercise extreme discretion.
  • Multitasking: Skilled in handling multiple tasks and meeting deadlines in a fast-paced environment.
  • Organizational Skills: Strong organizational and time management skills to keep everything running smoothly.
