SUMMARY:

We are seeking a highly skilled individual adept at multitasking, with exceptional communication abilities and a positive, proactive attitude, to offer top-tier administrative support to our executive team. The ideal candidate should demonstrate remarkable time management and organizational skills, coupled with the capacity to foresee, and fulfill the Presidents requirements in a fast-paced environment. The Executive Assistant plays a pivotal role as a primary support figure, committed to the success of the President.


ACCOUNTABILITIES AND RESPONSIBILITIES:

Administrative:

• Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.

• Manage travel itineraries, ensuring all travel plans align with the executive’s schedule and objectives.

• Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf.

• Maintaining comprehensive and accurate records.

• Performing minor accounting duties.

• Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters.

• Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.

• Maintain Confidential and Sensitive Information.

• Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.

Project Management

• Lead project management meetings, including drafting agendas and facilitating meetings.

• Work with the leadership team to establish priorities and to adjust in real time as needed.

• Hold the team and collaborators accountable to deadlines.

• Keep team and collaborators informed with updates on how various projects are progressing.

• Flag opportunities and concerns for leadership and generally help ensure projects are successful.


REQUIREMENTS / QUALIFICATIONS:

• Bachelor’s degree preferred.

• Three to five years’ prior experience in supporting a senior executive or team.

• Project management experience preferred.

• Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)

• Exceptional writing, editing, and proofreading skills.

• Excellent organization and time-management skills.
