This is an entry-level office position responsible for performing general office tasks to support key team members while other initiatives are processed. Key duties will focus on data entry and preparing/processing office documents.

Essential Job Functions:

  • Compiles, maintains, updates, and files company records.
  • Gathers information from key documents or field personnel on information related to landscaping projects.
  • Performs accurate data entry into Aspire landscaping platform.
  • Reconciles totals and hours of field projects in the system.
  • Performs general clerical duties and office functions, including but not limited to photocopying, scanning, faxing, mail distribution, and filing.
  • Supports the branch management team with drafting correspondence, scheduling meetings, etc.
  • Proofreads reports for errors in typing, spelling, punctuation, grammar, etc.
  • May pick-up and or distribute materials to others.
  • Maintains and cares for company property and equipment.
  • Builds and sustains positive working relationships with co-workers, office staff, vendors, and customers.
  • Understand and meet scheduled deadlines without sacrificing great customer service or excellent quality.
  • Promotes workplace safety.
  • No direct reports.
  • Ensures compliance with all applicable codes, laws, rules, regulations, standards, policies, and procedures.
  • Responsible for completing all training classes and seminars, at management’s discretion.
  • Performs other duties as assigned.
Requirements:

High school diploma or equivalent and zero to two years’ administrative experience is required. Prior landscape or construction industry experience preferred. Aspire Landscape Management Software, Exactix, Supply Pro, and/or Vendor suite experience is desired. An equivalent combination of related training and experience may substitute for degree requirement.

  • Ability to perform basic mathematical functions.
  • Ability to show an attention to detail.
  • Communicate clearly and concisely, both orally and in writing.
  • Computer skills and knowledge of relevant software; Microsoft Office Suite including but not limited to Outlook, Excel, and PowerPoint.
  • Troubleshooting of basic office technology issues.
  • Ability to maintain tidy and organized work areas.
  • Ability to work well either alone or as part of a team.
  • Ability to maintain a high level of confidentiality.

Work Environment | Physical Demands:

The work environment for this position is located indoors in an office type setting; but may be exposed to outdoor elements such as dirt and pollen due to the nature of the industry this role supports. Physical demands require sitting for extended periods of time and repetitive motion. Regularly required to stand and walk, lift and/or move up to 20 lbs. Moving, climbing, and crouching may be intermittently required.
