Position Overview

The Development Coordinator will closely with the Development Officer and the Chief Executive Officer (CEO) as a supporter of St. Joseph the Worker's mission, vision, and growth. The Development Coordinator will provide administrative support to the Development departments and will participate in all fundraising activities, including donation processing, donor and public relationship management, agency branding and messaging, direct mail appeals, community outreach, and special event management.


Functions of Position

The Development Coordinator work duties will include, but are not limited to:

  • Serve as the primary point person for updating, adding, and maintaining donor, member, and prospective constituent records in the Bloomerang database.
  • Maintain donor information in Bloomerang and relevant donor platforms such as Constant Contact, Q-Give, and others as well as perform database maintenance and clean-up projects to improve data integrity and database performance.
  • Responsible for all aspects of the gift entry process. This includes obtaining mail from the post office, copying checks, making deposits, and assisting in running financial reports and reconciling deposits.
  • Code and track general donations, tributes, membership, and workplace gifts in tandem with the Finance department.
  • Upload online transactions (signups, profile updates, donations, and event registrations) from online giving systems.
  • Assist with creation of donor lists and other gift queries and reports.
  • Responsible for donor communication and outreach, including ensuring that all giving platforms are updated regularly, sending "thank you" letters to donors, and maintaining a working knowledge of active and potential donors.
  • File all donation-related paperwork and maintain organized filing systems.
  • Manage volunteer program, including recruitment, training, and recognition. Work alongside Director of Programs, Director of Housing, and HR Generalist to provide ongoing volunteer training, retention, and clearance.
  • Participate in community outreach events, presentations, and relevant development activities outside of normal working hours, as needed.
  • Assist with the coordination of fundraising events, including planning and execution, mailings, phone inquiries, in-kind gift tracking, and other duties as assigned.
  • Provide quarterly "Give or Get" report for each Board Member.
  • Assists with drafting and editing appeals, newsletters, and other donor communication.

Required Attributes

  • At least two years of administrative experience, preferably in a non-profit fundraising/development position.
  • Prior experience with donor management software, including Bloomerang, preferred.
  • Proficiency in Microsoft Office Suites required.
  • Excellent organizational skills and a strong attention to detail.
  • Ability to meet deadlines while managing multiple projects.
  • Ability to work independently and in a team environment.
  • Excellent interpersonal skills.
  • Must be able to obtain and maintain a Level One Fingerprint Clearance Card prior to hire.
  • Must have reliable transportation.
  • Must have ability to work nights or weekends as needed.

Reporting

Reports directly to the Development Officer


Evaluation

The annual review will be conducted with the Development Officer to evaluate the employee's performance over the past year. Key areas of discussion will include, but are not limited to, the employee's contributions to fundraising goals, donor database management, effectiveness and accuracy in donor communication, success in volunteer coordination, and the planning and execution of events. Feedback from vendors, partners, and colleagues who have worked with the employee will also be considered. Additionally, the review will assess the employee's attitude and their record of positively representing the organization. Finally, the evaluation will include evidence of how the employee has demonstrated SJW's core values in their work.
