About the Position: As a member of our Marketing Department, the Senior Proposal Coordinator has a critical role responsible for leading and managing the development of high-quality proposals that effectively communicate our firm's capabilities and win new business. This individual will collaborate closely with various departments to ensure proposals are compliant, compelling, and aligned with client requirements.

  • Proposal Management:
    • Maintain a proposal library and resource management system.
    • Develop and implement proposal templates and standards.
    • Track proposal metrics and key performance indicators.
    • Identify opportunities for proposal process improvement.
  • Proposal Development:
    • Lead and coordinate the development of complex proposals, including RFP, RFQ, and RFI responses.
    • Develop and implement proposal strategies and processes to ensure efficiency and quality.
    • Oversee proposal content development, ensuring clarity, consistency, and compliance with client requirements.
    • Manage proposal schedules and deadlines to meet submission requirements.
    • Conduct thorough proposal reviews and quality assurance checks.
  • Team Collaboration:
    • Collaborate with subject matter experts and other stakeholders to gather and develop proposal content.
    • Facilitate proposal kickoff meetings and team collaboration sessions.
    • Provide guidance and support to proposal teams throughout the development process.
  • Client Focus:
    • Develop a deep understanding of client needs and requirements.
    • Tailor proposal content to address specific client challenges and opportunities.
    • Build strong relationships internal stakeholders.

What We Are Looking For:

  • Educational Background: Bachelor's degree in Marketing, Communications, or Technical Writing.
  • Industry Experience: A minimum of five years of proven proposal/marketing coordination experience in the architecture, engineering, and/or construction (AEC) industry.
  • Technical Proficiency: Proficiency in Adobe Creative Suite (InDesign, Photoshop, Illustrator) is required. Proficient with content management systems (CMS) or client relationship management (CRM) tools.
  • Project Management: Demonstrated ability to lead and manage complex proposal development projects.
  • Communication Skills: Excellent written and verbal communication abilities.
  • Organizational Skills: Strong organizational and time management skills with keen attention to detail.
  • Deadline Management: Capability to work effectively under pressure and meet tight deadlines.
  • Interpersonal Skills: Strong interpersonal skills and the ability to work well in a team environment.
  • Adaptability: Flexibility to adapt to changing priorities and work environments.
