Summary: A dedicated and highly organized Administrative Assistant to provide comprehensive support to senior leaders and the administrative team to ensure the smooth operation of our office. Will be dedicated and highly organized, have strong administrative skills, a keen eye for detail, and the ability to handle a variety of tasks efficiently.



Essential Duties and Responsibilities include the following:

  • Provide administrative assistance to senior leaders, including managing calendars, scheduling meetings, and preparing necessary documentation.
  • Plan, organize, and schedule company meetings and activities, ensuring all logistical details are managed effectively.
  • Assist the Human Resources (HR) department with various clerical tasks, including but not limited to employee communication, filing (while maintaining the confidentiality of HR records), and employee engagement planning.
  • Maintain inventory of office supplies, order new supplies as needed, and ensure the office is well-stocked.
  • Arrange and coordinate executive travel, including booking flights, accommodations, and transportation.
  • Maintain and organize filing systems to ensure easy retrieval of documents and accurate record-keeping.
  • Manage incoming and outgoing mail, including sorting, distributing, and preparing mail for delivery.
  • Enter new suppliers into the IFS ERP system, ensuring accuracy and completeness of information.
  • Provide phone coverage, including answering calls, directing inquiries, and taking messages as needed.
  • Schedule building maintenance for the Greensboro facility as needed.
  • Strong organizational and time-management skills. Professional demeanor with a positive attitude. Strong problem-solving abilities and proactive approach to tasks. Able to work independently and as part of a team.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Other duties as assigned by management.



Requirements:


Supervisory Responsibilities: This job has no supervisory responsibilities.



Education and/or Experience: High school diploma or general education degree (GED); an Associate’s or Bachelor’s degree in an administrative field preferred; or 3-5 years related work experience and/or training; or equivalent combination of education and experience.

Language Skills: Excellent written and verbal communication abilities. The ability to write routine reports and correspondence. The ability to effectively present information and respond to questions from managers and employees.



Computer Skills: To perform this job successfully, the individual should have basic computer skills, knowledge of MS Office Software (i.e., Word, Excel, Outlook) and internet software.
