Administrative Assistant

As an Administrative Assistant for Special Projects, you will play a pivotal role in ensuring the smooth operation of our client's Special Projects division. Youll be the go-to person for managing schedules, tracking projects, and supporting the team with a variety of administrative tasks. Your ability to handle confidential and time-sensitive material with precision and care will be crucial to your success in this role.
In this position, you will report directly to the Director of Operations and receive daily direction from the Director of Special Projects. Youll also be an integral part of their Admin Team, collaborating with other Administrative Assistants to ensure seamless support across the company.
Key Responsibilities:- Special Projects Management:
- Learn and utilize our software tools (ComputerEase, Jobber) to manage and track projects.
- Manage the schedules of the Special Projects crew, ensuring timely execution of awarded projects.
- Create and track customer proposals and project documents using Jobber and Excel.
- Communicate with customers and subcontractors regarding project details.
- Create and manage purchase orders/contracts for subcontractors.
- Track Master Agreement Contracts for subcontractors annually.
- Maintain organized project files, including documents, pictures, and purchase orders.
- Assist in scheduling subcontractors and administering service requests as needed.
- Generate and send invoices for completed projects.
- Enter subcontractor billings into ComputerEase for approval.
- Leadership: Strong leadership skills to guide and support project activities.
- Communication: Excellent written and verbal communication skills.
- Technical Proficiency: Experience with various office software and equipment; familiarity with ComputerEase and Jobber is a plus.
- Organization: Ability to write reports, proposals, and presentations with attention to detail.
- Interpersonal Skills: Ability to work effectively with staff across multiple departments.
- Flexibility: Ability to adapt to changing priorities and support multiple projects.
- Financial Acumen: Experience working with budgets and creating spreadsheets.
- Relevant experience in an administrative support role.
- Strong organizational and multitasking skills.
- Familiarity with project management software is a plus.

Pay Rate: $17.50/hour
Hours: 9:00 AM 3:00 PM, Monday to Friday (25-30 hours per week, flexible schedule)
