POSITION SUMMARY

The administrative assistant is directly responsible to the Project Managers (PMs), Construction Coordinators (CCs), and accounting personnel for day-to-day administrative work activities,  Good communication, attention to detail, and customer service skills are key functions of this role.  In addition, this position is the primary contact for all new leads through calls to and from customers, agents, adjusters, and property managers.


MINIMUM REQUIRED QUALIFICATIONS

  • High level of professionalism
  • Attention to Detail
  • Typing – 60 wpm (accuracy more important than speed)
  • Excellent phone skills
  • Enjoy working with customers – ability to deal with difficult or emotional customers
  • Computer skills – intermediate level proficiency of MS Word and Excel with knowledge. Must be capable of learning specialized industry software tools, including job management software, estimating, and accounting programs.
  • Ability to prioritize, organize and carry out multiple tasks within appropriate deadlines.
  • Ability to proofread – must be able to correct spelling, grammar, and obvious context errors in estimating programs, including tax issues.
  • Ability to handle fast, fast-paced & demanding office environment, be able to “switch gears” quickly
  • Ability to prioritize competing customer demands for service
  • Ability to handle “stressful” situations and multiple personalities
