Overview: The Client Care Coordinator is responsible for ensuring exceptional client service through effective communication, efficient management of client inquiries, and coordination of services. This role requires a compassionate individual who can manage client relationships, schedule appointments, and coordinate with various departments to meet client needs.

Key Responsibilities:

1. Client Relationship Management:

o Act as the primary point of contact for clients, ensuring their needs are met with professionalism and empathy.

o Develop and maintain positive relationships with clients to ensure high levels of satisfaction and retention.

o Handle client inquiries and complaints, providing timely and effective resolutions.

2. Service Coordination:

o Schedule and coordinate client appointments, ensuring that all necessary resources and personnel are available.

o Liaise with internal departments to ensure seamless delivery of services.

o Maintain accurate and up-to-date client records and service schedules.

3. Communication:

o Communicate effectively with clients, providing them with relevant information and updates regarding their services.

o Prepare and send out client communications, including appointment reminders, follow-up calls, and feedback requests.

o Coordinate communication between clients and service providers to ensure clarity and understanding.

4. Administrative Duties:

o Manage client files, ensuring all documentation is complete, accurate, and confidential.

o Prepare reports and documentation as required by management.

o Assist with billing and invoicing, ensuring clients are billed accurately and in a timely manner.

5. Quality Assurance:

o Monitor client satisfaction and service quality, identifying areas for improvement.

o Implement and follow up on client feedback to enhance service delivery.

o Participate in regular team meetings to discuss client needs, service improvements, and organizational goals.

6. Caregiving as needed:

o Provide direct caregiving services as needed to ensure continuity and quality of care for clients.

7. Client Assessment

o Conduct comprehensive client assessments to evaluate individual needs and develop tailored care plans.

Qualifications:

· Education:

o Bachelor’s degree in Business Administration, Healthcare Management, or a related field is preferred.

· Experience:

o Experience in a client-facing role, preferably in healthcare, social services, or customer service.

o Experience in scheduling, coordinating services, and managing client relationships is highly desirable.

· Skills:

o Excellent communication and interpersonal skills.

o Strong organizational and multitasking abilities.

o Proficiency in Microsoft Office Suite and experience with client management software.

o Ability to handle sensitive information with confidentiality and professionalism.

o Compassionate and empathetic with a client-centered approach.

o Detail-oriented and proactive in identifying and resolving issues.

o Ability to work independently and as part of a team in a fast-paced environment.
